Role Overview

The Fleet Supervisor (Equipment Supervisor) is responsible for ensuring the company’s fleet is safe, reliable, and fully compliant with all transportation and regulatory requirements. This role oversees preventative maintenance programs, coordinates inspections, and manages day-to-day maintenance operations across all vehicles and equipment.

In addition to operational oversight, the Equipment Supervisor supports a small team through day-to-day direction, coaching, workload planning, and reinforcing a culture of safety, accountability, and continuous improvement.

This role helps keep maintenance costs on track by managing the budget, monitoring repair and operational expenses, and finding ways to improve efficiency without impacting safety or fleet performance. The Equipment Supervisor also prepares clear reporting and documentation to support internal audits, insurance reviews, and regulatory inspections.

Key Accountabilities

Fleet Maintenance and Operations

- Oversee maintenance and repair activities for all company vehicles and equipment to ensure safety, reliability, and operational availability.
- Develop, implement, and enforce a structured preventive maintenance program.
- Ensure vehicles undergo regular inspections and meet DOT, FMCSA, CVOR, IFTA, IRP and other federal/provincial/state regulatory requirements.
- Maintain accurate records of equipment condition, usage, availability, and maintenance history to optimize fleet performance.
- Establish clear protocols for equipment failures, breakdowns, emergency repairs, and out-of-service procedures to minimize downtime.
- Track warranties, service contracts, and inspection schedules to ensure timely and cost-effective repairs.
- Ensure adherence to yard and facility safety procedures at all times.
- Review Seaport’s CVOR and FMCSA scores monthly and identify corrective actions where required.
- Create, maintain, and enforce Standard Operating Procedures (SOPs) to support consistency, safety, and compliance.
- Champion a continuous-improvement mindset by identifying process enhancements, operational efficiencies, and opportunities to improve fleet reliability.

Budget & Cost Management

- Manage the annual fleet maintenance and compliance budget.
- Monitor and analyze expenditures related to repairs, parts, service providers, and equipment replacement.
- Identify cost-saving opportunities through improved maintenance planning, vendor performance, asset utilization, or lifecycle replacement strategies.
- Support capital planning for fleet upgrades or new asset purchases using data-driven insights.
- Evaluate and manage vendor contracts, pricing, service quality, and performance.

Reporting & Documentation

- Maintain complete and accurate documentation for maintenance activities, inspections, certifications, and compliance records.
- Generate regular reporting on fleet condition, maintenance KPIs, downtime, compliance status, and cost performance.
- Provide leadership with insights, dashboards, and trend analysis to support operational planning and decision-making.
- Collaborate with Safety, Operations, and Compliance teams to provide reporting for cross-functional initiatives.
- Prepare for DOT, CVOR, or other regulatory audits by ensuring records are complete, accurate, and audit-ready, and proactively addressing any compliance gaps.

Qualifications

- University degree or equivalent in Logistics or a similar field.
- Minimum of 5 years’ experience in fleet maintenance, equipment management, or a related operational role.
- Demonstrated knowledge of DOT, FMCSA, CVOR, IFTA, and other relevant transportation regulations.
- Experience developing or managing a preventive maintenance program.
- Strong understanding of budgeting, cost control, and vendor management.
- Proficiency with maintenance management systems, fleet tracking software, or similar platforms (e.g., Samsara).
- Experience supervising staff, including remote team members, is strongly preferred.
- Ability to travel within Canada quarterly or as required.
