Description
JOB DESCRIPTION
The Director, Support Services reports to the Vice President, Finance and Support Services and has overall accountability for a portfolio of key support areas including Capital Infrastructure and Planning, Environmental Services, Facilities, Internal and External Transportation, Nutrition and Food Services, Security, Supply Processing and Distribution, and Switchboard. In addition, the position co-chairs the Emergency and Disaster Management program and serves as Incident Manager during emergency codes. The role seeks to continually improve service levels and innovate in the ongoing pursuit of total value for money, while optimizing staff engagement and ensuring alignment with the strategic goals and objectives of Ontario Shores.
Duties and Responsibilities:
- Direct a patient/customer centric, cost effective and efficient operations;
- Ensure legislative compliance to optimize safety and reduce risk;
- Strategically develop and monitor the ten-year building capital plan optimizing value for money to maintain and improve building infrastructure, minimize downtime and optimize occupant satisfaction;
- Provide leadership for the development, modification and implementation of the master plan;
- Ensure lease obligations are met and negotiate and implement new leases as required;
- Co-lead the Emergency and Disaster Management program including developing and monitoring workplans to meet accreditation standards, act as the Incident Manager in emergencies, plan and implement mock emergency drills, ensure business continuity plans are in place for the portfolio, and continually improve the program to mitigate risk and maintain Hospital operations;
- Support the development of major procurement documents, and the evaluation of major tenders;
- Oversee the execution and management of vendor contracts within the portfolio;
- Provide leadership in the development and maintenance of corporate space plans and ensure the organization meets accessibility requirements;
- Champion environmental sustainability across the portfolio and provide corporate leadership to improve our carbon footprint;
- Ensure the facility and grounds are well maintained and clean, projecting a positive image to the community;
- Proactively identify and mitigate risk with a focus on continually improving patient and public safety;
- Provide leadership to ensure relevant accreditation standards are met;
- Lead or serve on project teams where Support Services are essential elements;
- Support and influence clinical leadership decision making with respect to value for money when business cases involving renovation projects or leased property are developed;
- Foster effective and collaborative relationships with healthcare peers, professional associations and vendors to facilitate benchmarking and optimize best practice;
- Maintain a broad knowledge of industry trends, emerging standards, and new innovations;
- Contribute to creating a safe and healthy patient-centred environment and identify and implement preventative and corrective actions within the scope of this role;
- Provide coaching and leadership to direct report managers to ensure service levels meet the needs of the organization and customer and patient satisfaction is optimized;
- In conjunction with the direct report managers, set and monitor goals to ensure continual quality improvement and alignment with organizational objectives;
- Coach and support managers on human resource issues with the goal of optimizing engagement while ensuring accountability and maintenance of the code of conduct;
- In conjunction with Finance, develop annual operating plans and budgets which support the strategic plan;
- Support career progression and nurture development; recognize, mentor and reward staff for exceptional work;
- Effectively identify and support and lead necessary change;
- Know and support adherence to all Ontario Shores policies;
- Assess staff performance and provide candid and constructive feedback;
- Promote collaboration and teamwork among staff and departments;
- Foster a healthy workplace by embracing diversity, encouraging collaboration and teamwork, and optimizing engagement;
- Proactively identify and mitigate risk with a focus on improving patient, staff and public safety, and overall quality of care and service;
- Ensure that Ontario Shores resources are used as efficiently as possible.
Requirements:
- Undergraduate degree in Business, or a related discipline, or the equivalent combination of education and experience;
- Minimum of ten years of progressive experience in leadership roles within Support Services, preferably in a healthcare setting;
- Membership in related professional associations preferred;
- Demonstrated skills in critical thinking, business plan development, implementation and evaluation;
- Experience with the Incident Management System, business continuity planning and disaster recovery;
- Knowledge of development and maintenance of master plan activities and the Ministry of Health capital planning process;
- Experience in building supplier relationships and facilitating negotiation;
- Relevant progressive experience in management with demonstrated success in facilitating work teams, service planning, quality improvement and change management;
- Collaborative management style and the ability to develop effective working relationships;
- Excellent analytical, problem solving and decision-making skills;
- Strong planning and organizational skills;
- Excellent judgment with an ability to determine priorities and to respond effectively to competing workload demands in a fast-paced environment;
- Superior verbal and written communication skills.
