Position Summary

Reporting to the Senior Manager, Housing Services, or such other persons as deemed necessary by the agency, the Housing Tenancy Coordinator is responsible for leading the full intake and tenancy life cycle for the building, from vacancy postings and eligibility verification through tenant matching and move-in. The Intake Coordinator works closely with the Housing Supports and Property Management teams to coordinate viewing, tenant interviews, lease signings, and warm transfers to on‑site and community supports. The Housing Tenancy Coordinator also leads annual rent‑geared‑to‑income renewals and participates in case conferencing, maintaining accurate tenant records and documentation. In addition, the position is responsible for reporting, data collection, and maintaining administrative and statistical records in alignment with City of Toronto Coordinated Access and Rent‑Geared‑to‑Income Requirements.

Duties and Responsibilities

Vacancy Postings, Eligibility Verification, and Tenant Matching

- Manage the full life cycle of tenancies in the building: submitting Vacancy Notification Forms (VNFs), receiving and reviewing Eligibility Verification Forms (EVFs), uploading required documents to Yardi and facilitating a warm transfer to onsite supports.

- Coordinate with Property Management to schedule unit viewings and lease signings.

- Oversee and attend prospective tenant interviews, representing Dixon Hall, to ensure building supports meet tenant needs.

- Manage lease signing schedules, review policies with prospective tenants.

- Liaise with service providers involved with each tenant in referral, planning and move‑in process.

- Lead the annual RGI renewal process alongside the supports and property management teams.

- Assess client needs and align them with services and support in the community that will lead to a successful transition.

- Encourage good coordination of resources and strategies among referring agencies.

Reporting

- Attend regularly scheduled meetings with the City of Toronto’s Coordinated Access team to report on occupancy and prospective tenancies.

- Collect and maintain statistical information on tenants moving in and out.

- Develop and administer surveys and questionnaires for all tenants moving in and document the outcome of tenants leaving, and periodically during tenancy.

Housing Support

- Establish and maintain a supportive network that will assist tenants to maintain a successful tenancy.

- Liaise between property managers and tenants.

- Educate tenants on their responsibilities and rights during the lease signing process.

- Participate in case conferences with tenants as needed, maintain up‑to‑date case notes, progress reports and tenant files.

Administrative/Liaison

- Maintain appropriate information for statistics and files.

- Maintain tenant files on EMHWare and Yardi.

- Attend department and agency staff meetings.

- Provide letters for tenants regarding their prospective tenancy.

- Prepare case records, statistical reports, and other administrative tasks as required.

Qualifications

- Previous experience (one year or more) working in a shelter and/or housing environment.

- Previous experience (one year or more) assisting clients to access and maintain housing.

- Post‑secondary education in a relevant field (i.e. certificate, degree, or diploma in social services) is preferred.

- Experience working in a Rent‑Geared‑to‑Income (RGI) and Supportive Housing environment preferred.

- Experience with EMHWare and Yardi is considered an asset.

- Practical knowledge of crisis intervention, conflict resolution, counseling, harm reduction, community service agencies, and the homeless population gained through either experience or education/training.

- Demonstrated ability to use sound judgement, perform job duties with minimal supervision, and problem solve.

- Demonstrated ability to work sensitively with a wide variety of individuals and with groups of homeless and hard‑to‑house men and women in a community setting.

- Ability to collaborate with individuals, client groups, agencies, and other organizations working towards social change.

- Knowledge of political, structural, and sociological reasons for homelessness, under housing and poverty.

- Ability to quickly identify issues and possible solutions.

- Strong written and verbal English language skills; knowledge of other languages will be considered an asset.

- Ability to work with all levels of professionals in community agencies and government offices.

- Ability to work as an individual and as a team member.

- MUST be qualified to work in Canada legally for the employer.

- Able to provide a ‘Clear’ or satisfactory Vulnerable Sector Police Check as determined by the operational requirements of the program.
