WHAT WILL YOU DO?
This role provides support for project efficiency with office-based administrative and organizational support for project and service line management activities. As key support personnel for the Geotechnical Services group, the Technical Administrator helps to streamline processes and facilitate effective project execution. This role also ensures that projects and proposals are executed smoothly, on time, and within budget by organizing documentation, communication, and resources.
JOB DUTIES
- Provides updates on administrative and technical aspects of projects and refers complex matters to more senior staff
- Maintains open and effective communication channels within the technical members of the project team
- Acts as a superuser on project tracking software for project managers and others
- Fosters a collaborative and productive working environment
- Participates in improvement of technical procedures
- Provides administrative and technical office support for assigned Service Group(s), as directed
- Supports Group Managers, Team Leads, Project Managers through all phases of the project management process, including implementation, reporting, quality control and client communication
- Attends internal meetings and coordinates the production and distribution of agendas, minutes, and Action Items
- Prepares, tracks, and maintains a large volume of reports, databases, and other documents
- Assists with report formatting in preparation for submission to Administration for finalization and submission through DocuSign
- In conjunction with Administrative Services, ensures reports are issued to clients in a timely manner, and follow up on associated client questions and requests
- Maintains positive relationships with project leads, project staff, clients, and other colleagues
- Supports more senior project team members in client relations by ensuring they have up-to-date information on technical matters
- Ensures project tasks are completed by appropriate staff in compliance with SOPs and industry standards and notify more senior staff of related delays/concerns
- Communicates information accurately and effectively in oral, written, visual and electronic forms
- Develops and presents strategies for ongoing personal and professional development to enhance performance with the Geotechnical Services team
Job Requirements
- University degree or College diploma in Geotechnical Engineering, or other relevant field (Civil Engineering, Environmental Sciences, Business Administration)
- Minimum 1-year related experience in a similar role within a project environment
- Ability to work independently to troubleshoot problems with excellent reasoning, maturity, professionalism, and discretion
- Ability to manage multiple demands effectively and efficiently
- Excellent problem-solving, reasoning, resourcefulness, and reliability
- Expert organizational skills, time management and prioritization abilities, with attention to detail
- Excellent communication skills with the ability to listen and clarify in all methods, with expertise in telephone communication and fluency with reading, writing and oral in English
- Expert and meticulous records maintenance skills
- Excellent computer skills, with proficiency in Microsoft Office Suite, Adobe Acrobat, TEAMS, and other project-related software and databases
- Good interpersonal skills with the ability to build positive relationships with team and contractors
- Excellent customer service orientation
- Flexible and adaptable to changing needs
- A high level of integrity and pride in quality work
- Valid Driver's License and access to a reliable vehicle
