Prodigy is hiring an Estimating Administrator to support our estimating team with bids and tenders. If you’re detail oriented, organized, and excited to learn, this role provides hands on exposure to the world of competitive bidding; supporting the creation and review of budgets, estimates, quotes, and proposals. You’ll contribute directly to helping Prodigy win new projects across multiple sectors, while developing valuable pre-construction and estimating experience.

As an Estimating Administrator, you’ll be responsible for:

- Efficiently and effectively working with the estimating team.
- Building and maintaining strong relationships with specialty subcontractors, suppliers, and internal user groups, while reflecting Prodigy’s core values and consistently meeting or exceeding customer expectations.
- Researching historical tendering and award data, compiling key information in a clear and organized format for team reference and to support bid/tender planning.
- Maintaining and constantly updating Tender/Supplier lists according to varying project and company requirements by: a) Sourcing and qualifying new subcontractors and suppliers, b) Reviewing and communicating with Prodigy team at initial project tender invite and at project completion to determine strengths and weakness of each subcontractor/supplier, c) Organizing and updating the list to ensure each subcontractor/suppliers’ details are noted for future reference.
- Providing preliminary search efforts and alerting the Pre-Construction team of bid opportunities from public/private tender sites/forums.
- Downloading and distributing bid/RFP invitations.
- Assisting in the bid/proposal process, ensuring that: a) New project documents are down/uploaded and distributed per Estimating Team direction, b) Subcontractors/Suppliers are called and bid intent throughout the duration of the bid process is tracked, c) Draft and distribute requests for information, d) Calendar invitations are sent/updated as required for project related deliverables, e) Assists the Estimating Team with quantity take-offs as it relates to the bid/estimating process.
- Drafting Meeting Minutes for internal Estimating Team meetings
- Assisting with preparing estimate/bid documentation including but not limited to: a) Project specific tender bidder’s list noting pre-qualified and/or appropriate subcontractors and suppliers, b) Drafting and sending Invitation to Bid to subcontractors and suppliers, c) Attaching Supplemental Conditions and/or Appendices, d) Completing and reviewing all quantity take-offs, d) Drafting Drawing and document logs, e) Drafting and sending Letters of Regret.
- Providing various administrative support such as but not limited to photocopying, printing, boardroom set-up and clean-up for meetings, binding, courier, assembling packaging documents and other project elements, assisting Office Manager with office supply inventory and replenishment, or other office/project administrative tasks as requested.

About You:

The successful candidate will have the following:

- A college diploma (or equivalent) is preferred. Additional credentials such as CIQS/CEC certification or a degree in Engineering (Civil, Mechanical, Electrical, or Structural) are considered an asset. This is an entry-level position.
- General experience using the following: a) MS Office Suite - Create and modify Word documents, use of Microsoft Outlook, modify budgets, etc. via Excel spreadsheets, b) On-Screen Take-Off - ability to format and provide take-offs for all areas/rates available from plans and details, c) Bluebeam/Adobe, d) MS Project, e) Procore - create new projects, upload/download documents, update status/project details, distribute tender docs to bidders, f) other related estimating software.
- Possesses very strong organizational and time management skills.
- Demonstrates a high degree of resourcefulness, flexibility, and adaptability
- Demonstrates an ability to work in and support a strong team concept and be highly self-motivated and directed.
- Demonstrates an ability to effectively prioritize and execute tasks in a high-pressure environment.
- Possesses exceptionally strong, professional, positive, effective, clear written and verbal communication skills.
- Local experience with a general contractor and/or construction manager is an asset.
- Possessing a general knowledge and demonstrates a basic understanding of the following is an asset but not mandatory: a) Construction documents (Architectural, Design, Mechanical, Electrical, Structural, Civil and Landscaping, etc), b) Construction science, c) Sequence of work, e) Construction Contracts and Construction Law, f) Construction Health & Safety, Ministry of Labor, Health Department, requirements, g)Ontario and other regional/provincial building codes.
