DS is seeking a highly organized and detail-oriented Accounting & Payroll Administrator to join our newly established Finance team. This hybrid position offers the flexibility of working both from our Old Port Head Office and remotely.

As our Accounting & Payroll Administrator, you will work closely with the Financial Controller to build-out DS' accounting function. You will assist in implementing and adhering to controls around payroll, cash management, accounts payable, and accounts receivable.

We seek someone who is both a vigilant guardian of corporate policy and flexible and adaptable, capable of pivoting and enforcing new policies and procedures as needed. Your proactive mindset and commitment to excellence will play a pivotal role in shaping our finance operations from the ground up.

Job Duties

Payroll

1. Process payroll in a timely and accurate manner while ensuring employee enrollment, terminations, and adjustments are correctly updated across systems.
2. Post payroll journal entries and reconcile general ledger accounts monthly.
3. Prepare and submit remittances (EI, CPP/QPP, EHT, WCB) and payroll tax returns.
4. Ensure compliance with applicable payroll tax laws and regulations.
5. Maintain confidentiality and security of sensitive financial information.

Accounts Payable

1. Verify, enter, and obtain approval on vendor bills, while ensuring timely payment.
2. Review and process employee expense reports with proper backup and authorization.
3. Prepare payables entries considering provincial sales tax implications.
4. File and pay monthly sales tax.
5. Investigate and resolve discrepancies associated with processing of payments.

Accounts Receivable

1. Enter and classify invoices, follow-up promptly on outstanding payments.
2. Match incoming payments to invoices for accurate customer account reconciliation.
3. Perform bank reconciliations and post journal entries related to banking transactions.

Cash Management

1. Perform bank reconciliations and post journal entries related to banking transactions.

Administration

1. Follow procedures for timely month-end close in 10 days or less.
2. Maintain organized historical records of invoices, contracts, etc.
3. Assist in managing contract renewals with customers and vendors.
4. Oversee employee time tracking within corporate policy.
5. Support the Financial Controller in various projects, including but not limited to: data cleanup, corporate spending analyses, annual SR&ED claim, etc.

Requirements

1. Certification or degree in Accounting, Finance, or a related field preferred.
2. Minimum 2 years of work experience in the field of accounting or related operations/finance role.
3. Experience with payroll ERPs (i.e. Payworks) and/or payroll certified (i.e. National Payroll Institute) preferred.
4. Experience with accounting ERPs (i.e. Xero, Expensify, DextPrepare).
5. Proficient in Excel/Google Sheets.
6. Excellent organizational and time-management skills.
7. High level of accuracy and attention to detail.
8. Strong communication and interpersonal skills.
