About the Role:

The Employee Services Representative (ESR) is an integral part of the Office of People & Culture team and acts as the first point of contact to the department for all faculty and staff employment-related inquiries and transactions at Brock University. Reporting to the Manager, People Systems & Projects, the ESR will provide exceptional customer service when responding to employee questions, employment-related requests and general inquiries, and supporting the usage of the Workday HR information system (HRIS). You will be accountable for the accurate and timely processing of employee transactions within the HRIS, and will provide support for HR systems projects, including testing for system upgrades and changes, systems training and employee job aid maintenance.

The Employee Services Representative will:

1. Receive and respond to employee questions related to employment, general HR policies, confirmation of employment as well as support with Workday system access, self-service and resources;
2. Respond to employee and general inquiries received at the main phone extension in the Office of People & Culture, liaising with staff as needed or directing queries as appropriate;
3. Process system-based changes in the HRIS related to employment changes including processing new hires, transfers, change of status, and ending contracts in an accurate and timely manner;
4. Guide and support the University community through a variety of business processes in the Workday HRIS system including staffing processes such as hire and adding additional jobs;
5. Support system security and data integrity by completing duplicate management tasks;
6. Run audit reports on data to ensure accuracy, making necessary adjustments to correct errors;
7. Draft step-by-step instructions to support the development of job aids for end users;
8. Support system projects including implementation and testing of new modules, upgrades and process redesigns;
9. Coordinate the logistics of Workday training and information sessions;
10. Monitor and track frequently-asked questions and develop FAQ resources for the Brock community.

Key Skills & Experience

1. A post-secondary degree or diploma in a related field (e.g. business, human resources, office administration, etc.);
2. Previous related experience in a Human Resources department or an equivalent combination of education and experience;
3. Strong proficiency in computer skills, including word processing, spreadsheets, database applications and HR systems, combined with an aptitude to learn new software;
4. Excellent customer service and the ability to interact courteously and professionally with a variety of individuals;
5. Strong oral and written communication skills;
6. Ability to exercise sound judgment, with tact and diplomacy;
7. Excellent organization skills, with a demonstrated ability to show a high level of concentration for the task at hand;
8. Excellent time management skills, with a proven ability to multi-task and prioritize in a fast-paced, changing environment under minimal supervision;
9. Demonstrated ability to work independently and take initiative;
10. High level of accuracy and attention to detail;
11. Highly adaptable, flexible, and responsive.

Preferred Skills:

1. Familiarity with university operations, policies, and procedures.
2. Demonstrated experience in a public sector or educational environment.
3. Working towards a Certified Human Resources Professional (CHRP) designation.
4. Previous experience with Workday.

Salary and Total Rewards:

1. Job Grade J, Salary Scale ($52,920 - $90,720)*
2. Target Hiring Range: $52,920- $56,000
3. This is a permanent position that includes:

6. Vacation: Up to 3 weeks per year, in addition to university holidays.

* The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
