Our client, an established and reputable commercial property management company with offices nationwide, is looking for a Property Services Coordinator to join their tight-knit property management team, assisting with operations for a commercial office portfolio. Reporting directly to the Property Manager, you will be a core piece in tenant relations, vendor/contractor management, and administrative capacities. You will be based 100% in-office in a warm and welcoming environment. Please note that this position requires security clearance to be obtained.

The right fit will be someone with 5+ years of commercial property management experience, excellent communication skills, exceptional customer service skills, strong organization, and attention to detail.

Property Services Coordinator Duties & Responsibilities:

1. Develop and maintain strong communication with contractors, consultants, tenants, sub-tenants, general public, and the federal government.
2. Respond and ensure Tenant requests, concerns, and questions are addressed promptly.
3. Update open Purchase Order lists monthly.
4. Preparation and administration of Service Contract tenders, addendums, clarifications, and attend tender walk-throughs.
5. Prepare Contracts and Service Agreements for signature.
6. Complete incident reports as requested.
7. Assist with managing contractors' Federal security clearance.
8. Update and maintain the Contractor List on file.
9. Update and maintain active Contract List on file.
10. Coordinate supplier and contractor set-ups within the payables system.
11. Complete monthly building inspections.
12. Organize annual testing and recurrences for the building such as window and carpet cleaning; including scheduling access with tenants and retailers.
13. Coordinate Health & Safety start-up meetings with contractors and complete all applicable paperwork.
14. Keep records of all WCB and insurance certificates for contractors; including liaising with Safe Contractor to ensure compliance.
15. Cross-train for all Administrative Assistant duties for position coverage, and provide coverage as needed.

Property Services Coordinator Qualifications:

1. Minimum of 5 years' experience in Property Management/Commercial Real Estate.
2. Graduate of Business Administration Program from community college or equivalent experience.
3. Strong verbal and written English communication skills.
4. Demonstrate strong attention to detail, flexible, problem solver, and self-motivated.
5. Work calmly under pressure while maintaining a sense of urgency.
6. Proven organizational and multi-tasking skills with an ability to meet deadlines with ownership and accountability.
7. Strong computer skills in Microsoft Word, Excel, PowerPoint, Teams, and Outlook are essential; Yardi experience or similar programs an asset.
8. Work well in a dynamic team environment and have a positive attitude.

Property Services Coordinator Compensation:

The successful candidate will receive an annual base salary between $65,000-$80,000 dependent on experience + participation in a comprehensive benefit plan.
