Purpose of Job

The Card Operations Inventory Control Analyst is responsible for managing card plastic, chip module and collateral inventories for the manufacture, personalization, production and fulfillment of credit and debit card products. The incumbent is accountable for monitoring inventory usage, card manufacturing and personalization orders, daily balancing, forecasts, projection of volumes/costs, reconciliation/tracking of vendor invoices, and daily statistics. The Card Operations Inventory Control Analyst maintains an inventory management application system and imports data from multiple sources. He/she is responsible for analyzing card usage volumes, inventory, data and statistics, and generates reporting on various inventory control aspects.

Is this role right for you? In this role you will:

1. Manage card plastic, chip module and collateral inventories:

- Update daily statistics and maintain the Card Operations inventory application system ensuring all data elements are accurate and up-to-date.

- Ensure sufficient inventory of card plastics, chips modules and collaterals are available for production and fulfilment of cards.

- Achieve 98% timeliness and accuracy on all manufacturing inventory orders.

- Monitor, track and update daily/monthly card issuance volumes for credit and debit card products.

- Load and import CPI, Bundl, and Service Bureau embossing reports into the inventory application system.

- Balance daily card production volumes with the Service Bureau ensuring service level agreements are met.

- Provide daily reporting on card production volumes and Service Bureau service levels.

- Co-ordinate the release of collaterals from suppliers to the Service Bureau.

- Provide projections and usage for Card Operations inventory on a monthly, quarterly and annual basis.

- Maintain the Disaster Resumption Plan (DRP) for inventory of card plastics, chip modules and collaterals.

- Respond to all inquiries related to Card Operations inventory and fulfilment of credit and debit card products.

- Ensure all responses to inquiries are communicated in a concise, professional and timely manner.

- Achieve 95% SLA on daily balancing, report completion, queues and day-to-day functions.

- Submit and implement at least 2 recommendations to streamline process and/or reduce environmental footprint.

- Ensure all inventory control processes are documented and maintained.

2. Reconcile all Card Operations Inventory:

- Reconcile card plastics, chip modules and collaterals used by the Service Bureau.

- Liaise with the Service Bureau to resolve discrepancies.

- Reconcile all monthly invoices related to Card Operations inventory.

- Accountable for archived card plastics and documentation.

- Achieve 95% invoice reconciliation accuracy.

3. Analysis and reporting:

- Analyse and provide recommendations for inventory orders.

- Provide reporting for Card Operations volumes, forecasts, projections, actuals and inventories.

- Monitor and analyze reporting from the Service Bureau and Suppliers.

- Maintain historical data and reporting.

- Participate in annual audit and validation of all card plastic inventory.

- Ensure 95% of reports are completed with established service level agreements.

4. Service Bureau Release Planning and Implementation:

- Assist with card issuance planning and execution of change related tasks.

- Prepare, update and facilitate management of the Service Bureau matrices.

- Coordinate delivery of all project related change activities.

5. Adherence to policies and procedures:

- Adhere to all Scotiabank/department policies and audit requirements.

- Adhere to the Bank's Guidelines for Business Conduct and Privacy Code.

- Perform ADHOC/annual audit and validation of all card plastic inventory.

- Complete quarterly audits of all plastics, reports, and invoices.

What you will be doing?

- Responsible for managing card plastic, chip module and collateral inventories for the manufacture and fulfillment of over 5,000,000 credit and debit card products annually.
- Accountable for monitoring inventory usage, orders, balancing, forecasts, and daily statistics.
- Works closely with key business line partners and third party vendors.
- Responsible for tracking and reconciliation of all Cards Operations related expenses and invoices.
- Maintains an inventory management application system and imports data from multiple sources.

WORKING CONDITIONS

The position is primarily non-physical work in a standard office environment. The incumbent will work in a stressful environment due to tight delivery deadlines and strict security measures.
