Graduate Program Coordinator
Primary Purpose: The Graduate Program Coordinator is responsible for the strategic planning and process improvement of the administrative and operational needs of the graduate programs in the College of Medicine (CoM). The Graduate Program Coordinator supports the Assistant Dean Graduate Studies in setting the strategic direction of the graduate programs and developing and facilitating the funding initiatives related to graduate students and postdoctoral fellows in the College of Medicine.
Nature of Work: Reporting to the Director of Research and receiving strategic guidance from the Assistant Dean Graduate Studies and the Graduate Program Chairs, the Graduate Program Coordinator demonstrates leadership in all aspects of graduate program coordination and planning. The incumbent works collaboratively with a variety of internal and external stakeholders, including biomedical and clinical faculty, staff, students, regional partners and professional bodies from across the province and nationally. Success in the role will be dependent on working closely with the CoM Graduate Programs Committee and Director of Research, as well as counterparts in Student and Enrolment Services (SESD) and College of Graduate and Postdoctoral Studies (CGPS).
Typical Duties
- Work closely with the Assistant Dean, Graduate Studies to administer a graduate program that supports the achievement of strategic goals for the college
- Ensure that the College’s graduate programs’ strategic messages and goals are appropriately communicated to stakeholders, to reflect positively on the reputation of the graduate programs
- Plan, execute, and evaluate medicine graduate program recruitment strategies
- Provide guidance to students, faculty, staff and assistance to the Assistant Dean Graduate Studies and Graduate Chairs re interpretation, development and implementation of procedures and guidelines, and resolution of issues to ensure compliance with policies, best practices and high standards of operations
- Effectively serve on University committees, initiatives, and events related to graduate education to ensure College interests and goals are well represented and information is communicated back to the College
- Develop meaningful and effective graduate program marketing and promotional material including print, media, and web based communication
- Provide complete administrative support and oversight for the Health Sciences Graduate Program.
- Support the Graduate Chair Health Sciences in the administration of the Graduate Studies Funding portfolio.

- Provide budgeting and forecasting support with the finance team for all applicable OVDR graduate studies funds
- Provide academic advising and program planning support to current graduate students that promotes student achievement
- Manage the maintenance of student databases and electronic filing, and work with campus partners to continue to improve data management processes and quality
- Provide leadership in the development of proactive academic integrity plans and act as a resource for student appeal cases
- Provide leadership and coordination for program planning activities such as student progression, class build, and distributed technology needs that support timely, sustainable and high quality program delivery
- Provide leadership and coordination to build relevant metrics to measure success and guide decision making for the graduate program revitalization
- Work collaboratively with other OVDR Team members and colleagues within the College to support and achieve the CoM’s strategic priorities
- Coordinate special projects and other duties as assigned
Qualifications
Education: A Bachelor Degree in a related discipline. A combination of education and experience may be considered.
Experience: A minimum of five years of experience with academic program coordination in a university setting with a focus on administrative and organizational effectiveness. Experience with counselling and advising students. Experience with university policies and procedures with an emphasis on Graduate Studies. In depth knowledge of graduate biomedical and medical education programs is an asset.
Skills: Ability to take initiative, facilitate change, and be self-directed. Ability to thrive in a challenging, dynamic, and complex environment. Ability to work independently and collaboratively, as part of a team. Demonstrated relationship building skills are essential. Ability to plan for and distribute tasks within a team environment to meet goals. Strong organizational skills with an ability to think and act systematically and strategically. Ability to prioritize, manage and complete multiple tasks with tight timelines and competing demands with an appreciation of a wide range of university issues, structures and processes that support biomedical and medical education. Strong written and verbal communication skills. Demonstrated professional maturity in judgment, decisiveness, and conflict resolution.

Salary: The salary range, based on 1.0 FTE, is $69,035.00 - 107,868.00 per annum. The starting salary will be commensurate with education and experience.
