Canada's National Ballet School (NBS) is excited to invite applications for the part-time, permanent Academic Office Administrative Support position. This is a fantastic opportunity to become part of a dynamic team that supports the transformative power of dance across all ages and abilities.

About Us:
At NBS, you'll be part of a welcoming community dedicated to the arts and education. We offer a supportive work environment where new ideas are valued, and professional development is encouraged. NBS has 300+ employees supporting programs ranging from professional ballet training, community engagement, and ground-breaking health initiatives. Our collaborative work culture thrives on creativity, passion, and continuous growth. NBS is committed to the goal of being an equity-informed school. We invest heavily in work and practices that foster positive change internally while driving a progressive evolution in the wider sector. We recognize our responsibility as Canada's largest arts training organization and one of its oldest, to address anti-Black racism, reconciliation with Indigenous peoples and systemic oppression in Canadian society.

Your Role:
As a Part-Time Academic Office Administrative Support, you will play a crucial role in supporting administrative tasks within the academic department. Reporting to the Academic Principal, you will be responsible for enhancing the effectiveness of NBS by providing information management and administrative support to the Academic Principal and the teachers. The Academic Office Administrative Support will be involved with handling student attendance, speaking with parents, answering phones, filing support and handling other duties required to support the Office Administrator.

Duties and Responsibilities:

1. Conserve Academic Principal's time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information and initiating telecommunications.
2. Complete requests for information in person or on the phone by answering or referring inquiries from the Ministry of Education, parents, teachers, students, etc.
3. Maintain student and teacher attendance records by daily recording and communicating student absences, recording and issuing student late slips, informing teachers of student appointments and by implementing the "on call" timetable, including the distribution of assignments in the absence of a full-time teacher.
4. Maintain Academic School supplies by ordering, receiving, distributing and processing payment for classroom supplies, books, films and videotapes.
5. Control Petty Cash by recording and disbursing funds, tracking receipts and preparing reimbursement reports.
6. Coordinate and execute logistical arrangements for a variety of events, such as Parents' Days, Graduation ceremonies, Music Night, Student Council events, and theatre trips (including the selection and scheduling of chaperones and the ordering and assigning of theatre tickets).

What We're Looking For:
We value enthusiasm and a willingness to learn just as much as experience. We encourage you to apply even if you don't meet every qualification listed. We'd love to hear from you if you have strong interpersonal skills, a knack for problem-solving, and a passion for contributing to a creative and supportive environment

Skills and Qualifications:

1. Secondary School graduation diploma.
2. Strong communication and ability to work well with others.
3. Knowledge and proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
4. Strong attention to detail and well-developed problem-solving skills; deadline-oriented; excellent organizational, time management, multi-tasking and interpersonal skills.

Successful candidates must supply Canada's National Ballet School with a Police Reference Check in accordance with the School's Child Abuse/Sexual Abuse Prevention Policy; this will be coordinated through the Human Resources Department at NBS. NBS is committed to creating an accessible workplace. We provide accommodations to qualified individuals with disabilities to ensure equal opportunity in the recruitment process. If you need any assistance or accommodations during the application or interview process, please contact us and we will work with you to meet your needs.

We are committed to inclusive and accessible employment practices. Should you require accommodation at any stage of the recruitment process, we ask you to please make your needs/requirements known.
