The Project Specialist supports the execution of Rubicon Organics’ innovation pipeline by leading commercialization activities through the gate process. This role ensures new product launches are delivered on time, in full, and in compliance by coordinating cross‑functional teams, managing project timelines, and maintaining accurate documentation. The Project Specialist plays a critical role in enabling efficient, compliant, and successful market introductions for domestic launches.
Responsibilities
- Manage product launch deliverables from concept approval through commercialization.
- Own project timelines, milestones, and dependencies within the gate process.
- Coordinate cross‑functional stakeholders (Ops, QA, Regulatory, Marketing, Supply Chain).
- Oversee packaging and label approval submissions, ensuring regulatory compliance.
- Support BOM, GTIN, and SKU setup, collaborating closely with the Commercialization Coordinator.
- Track and report project progress through ERP and ClickUp system.
- Prepare weekly progress reports and flag risks to the Project Manager/Supply Innovation Manager.
- Proactively identify roadblocks and propose solutions to maintain launch timelines.
- Support documentation of lessons learned and continuous improvement of workflows.
Knowledge & Experience
- Bachelor’s degree in Business, Supply Chain, or related field (or equivalent experience).
- 2–4 years of experience in project coordination or commercialization within CPG, cannabis, or regulated industries.
- Demonstrated ability to lead products through every stage of a gate‑governed development and commercialization process, converting concepts into successful market launches.
- Understanding of product development and commercialization lifecycle (concept → launch).
- Experience using project management tools such as ClickUp, Monday.com, or Asana.
- Familiarity with ERP systems, BOM structures, and SKU data management.

- Knowledge of regulatory and quality considerations in regulated product launches, with cannabis industry experience preferred.
- Collaborative, adaptable, and accountable in a fast‑paced environment.
