**CUSTOMER SERVICE REPRESENTATIVE**

**Duties and Responsibilities**:

- Receive and process customer orders accurately, ensuring that the requested products, quantities, and delivery dates are correct. Collaborate with the production team to align on production timelines and capacities.
- Generate and manage purchase orders based on customer orders and ensure accurate invoicing. Collaborate with the finance team to ensure that invoices are sent promptly and accurately to customers.
- Coordinate the logistics of order shipments, including scheduling deliveries, arranging transportation, and tracking shipments to ensure they arrive on time and in optimal condition.
- Work with various logistics companies to negotiate competitive rates for transportation and shipping service. Continually monitor transport costs and explore opportunities for cost saving while maintaining high quality service.
- Monitor order schedules and proactively follow up with customers to confirm order details, delivery dates, and any specific requirements. Ensure that orders are being received according to the agreed-upon schedule and address any delays or issues promptly.
- Develop an in-depth understanding of our food products, including ingredients, nutritional information, and preparation instructions. Effectively convey this information to customers to assist them in making informed decisions.
- Address customer concerns, complaints, or product-related issues promptly and professionally, especially as they relate to orders, deliveries, or logistics. Collaborate with internal teams to identify root causes and implement effective solutions.
- Maintain accurate and organized records of customer interactions, orders, invoices, and logistics details in our system. Generate reports on order fulfillment, delivery performance, and customer feedback.
- Work closely with the production, logistics, sales, and finance teams to ensure smooth order processing, on-time deliveries, accurate invoicing, and alignment on customer expectations.
- Support various aspects of office administration.
- Oversee day-to-day office operations, encompassing a range of administrative tasks as required.
- Coordinating courier shipments, which involves tasks such as packaging, labeling, and ensuring follow-up at the destination point.
- Collaborating with security and quality assurance teams to organize the weekly incoming visitor log.
- Evaluating Key Performance Indicators (KPIs).

**Qualifications**
- Proficiency in QuickBooks and Excel.
- 3 years of experience in Sales and Customer Service.
- 3 years of experience in Office and Administrative roles.
- Post-secondary education preferred.
- Familiarity with the food industry is a plus.

**Skills and Knowledge**:

- Outstanding interpersonal and customer service abilities, adept at seamless teamwork.
- Proficient computer skills essential (Excel, PowerPoint, QuickBooks, Outlook for calendar management).
- Proven experience in customer service, preferably within the food industry.
- Exemplary time management and organizational prowess, demonstrating independence in work.
- Proactive approach to tackle challenges swiftly and efficiently. Ability to multitask, prioritize, and work effectively in a fast-paced environment.
- Exercising discretion and tact in handling sensitive situations, making sound judgments in responses.
- Empathy, patience, and a positive attitude when dealing with customer inquiries, concerns, and logístical challenges.
- Adaptability to accommodate flexible work hours as necessary.
- Proficiency in the French language is an asset.

**Salary**: $45,000.00-$50,000.00 per year
