**Richmond Counselling & Wellness** is seeking to add a full-time, permanent position of **Office Administrator** to support the running of our growing clinic.
We are a busy counselling practice seeking a **team-orientated individual** who has **experience** working within an administrative and client care role. We are seeking a warm, caring and friendly, organized, and dedicated individual to assist our clients and Therapist Associates. We are the largest counselling clinic in Richmond with room for growth and we are seeking the right Administrator to be a valuable member of our team.
**Job Overview**
This position **works independently** to provide a variety of administrative and client/Therapist Associate care services. For great client care and Therapist support, we require someone with excellent English communication and interpersonal skills, good written communication skills who is an outstanding problem-solver, possessing strong organizational skills, the ability to deal with members of the public and other healthcare professionals, and the ability to keep important and sensitive information confidential at all times.
**Accountabilities**
- Be On-Site to Welcome clients _In-Person_, do Check-Ins, Take Payments, and Issue Receipts during busiest office hours
- Conducting Intake Interviews to help match client needs with Therapist Associates
- Obtaining all necessary documentation and Consents for therapy to commence
- Maintaining Client Records and Therapist Associate files
- Uploading Client Records to digital platform (JaneApp)
- Billing and Invoicing, using the Jane platform,
- Take Payment using Moneris and issue receipts to clients
- Tracking Outstanding Invoices and Submitting Invoices to Third Parties Payers such as CVAP, Autism Funding Unit, ICBC, etc.
- Helping to Managing Bookings and Schedules of nine therapists
- Auditing Therapist Associates invoices submitted for reimbursement
- Scheduling Consultations and communication with other healthcare providers/ organizations/ institutions
- Preparing, posting, and managing Social Media Postings on Facebook / Instagram
- Scheduling, preparing and participating in New Therapist Associate Interviews
- Onboarding and Training New Therapist Associates, and record keeping of contracts
- Managing office supplies and inventories
**Job Requirements**
- Excellent communication skills in English and currently residing in the Lower Mainland
- Secondary school graduation and some Post-Secondary training or classes
- 1 year related Administrative Experience working in an Office Setting in Canada
- Experience and Proficiency in JaneApp, Microsoft Word, Excel, Outlook, Dropbox
- Basic Accounting Skill - ability to Audit Therapist Associates invoices to the clinic
