Administrative Bookkeeper

Purpose
The role will be responsible for full cycle bookkeeping duties, preparation of bank reconciliations, payroll, accounts payable, accounts receivable, tax filings (HST, WSIB, T4, installments), and general office assistance as required.

This role is a key administrative role for the company and includes other administrative duties as detailed below. The role likely breaks down to around 35% bookkeeping, 35% sales administration, 20% office administration and other, including some HR functions.

**Responsibilities will include**:
**Financial**:
A/P
Code and key accounts payable in QuickBooks Online ("QBO")
Key and verify invoices
Create PO's as required
Investigate any discrepancies
A/R
Maintain current A/R
Invoice customers as appropriate
Investigate, adjust and resolve any outstanding balances
Process any payments received
Payroll
Work with Ceridian Powerpay to produce bi-weekly payroll
Prepare and submit any required government files including returns or benefits submissions including EHT, WSIB, Taxes, Benefits, PD7A, ROE
Banking
Bank account and credit card reconciliations to QBO
Credit card payments
Maintain cash flow reports
Converting money between international currencies
Processing expense reports
Working with 3rd party Chartered Accountant as required

**Office Organization and Administration**:
Hiring
Help with job descriptions, job postings
New employee orientation
Review all new hire paperwork with new hires, distribute employee handbook and policies
Purchasing
Maintain purchasing and stock of all office supplies.
Purchase vehicle plate stickers
Administrative Functions
Responsible for sales administration of software sales, orders, invoicing, AP/AR.
Responsible for filing various information on a regular basis
Ensures that customer contracts and files are maintained in good order in the various physical and digital systems required
Document administrative procedures, processes, and policies

**Assist with organization of company events**:
This includes company celebration and periodic group activities
Answer and route phone calls to appropriate person
Track staff time
Track staff vacation time
All other administrative duties as reasonably required

Required Skills & Experience

You need to be highly organized and enjoy working with numbers. Your strong people and communication skills will ensure you integrate well with our team and our clients. As a self-starter, you will be efficient and effective, producing quality results independently and within our larger group.

**Skills and experience include**:
College Diploma or university degree in relation to bookkeeping or account or 10 years equivalent work experience in a similar role
Minimum 3 years of working with QBO. Being a Certified Professional Bookkeeper (“CPB”), or having an account designation is preferred
Minimum of 3 years working with Microsoft Office, Microsoft SharePoint and the O365 online suite of software

**Experience with at least one of**: pipedrive, salesforce, Siebel or equivalent online CRM tool
Able to file digital and physical paperwork
Strict attention to detail in all aspects of the job
Performance driven, fast paced and energetic
Strong in math and accounting
Keyboard and data entry skills
Excellent written and verbal communications skills
Ability to manage your time and multiple projects, highly organized with great attention to detail
Able to multitask and complete tasks with mínimal supervision
Experience working in an engineering office is an asset
Ability to speak French is an asset
Familiarity with ISO 9001 or other quality systems is an asset
