The Athletic Therapy Centre is a multi-professional facility that provides injury prevention, care and rehabilitation to the Wesmen intercollegiate athletes, University of Winnipeg students and staff/ faculty and to the general public. The centre offers musculoskeletal assessments, treatment and rehabilitation, custom foot orthotics, massage therapy, sport medicine and more. As a teaching facility, the Athletic Therapy Centre provides a practicum placement each semester for students enrolled in the Athletic Therapy program in The Gupta Faculty of Kinesiology and Applied Health.

**Responsibilities**:

- Act as a liaison and the first point of contact with students, staff/faculty and the general public.
- Liaises with the UWSA Health Plan office, International Student Services and Green Shield Canada regarding opt-in/opt-out status of the University of Winnipeg students’ health plan.
- Responsible for managing all incoming clinic revenue; billing and sales/
- Operate Moneris terminal and cash register, collect payment and validate end of day sales and close batch.
- Operate POS software.
- Responsible for managing Petty Cash.
- Prepare contract therapists month-end invoices, collects and manages outstanding invoices and past-due accounts.
- Verify with insurance providers that services have been received.
- Responsible for staying up-to-date with annual fee increases with MATA, MPI and WCB.
- Purchase and process supplies.
- Reconcile the Athletic Therapy Visa on a monthly basis.
- Collaborate on fee increases and merchandise pricing.
- Attends and participates in budget meetings, collaborates on creation of the budget, accesses, monitors and maintains internal budget accounting records. Catches discrepancies, processes invoices and deposits incoming revenue.
- Responsible for tracking and reporting all revenues and expenses on a monthly and fiscal-year basis.
- Maintains an electronic central filing system for all department records.
- Prepares purchase orders/requisitions.
- Prepares internal transfers of merchandise.
- Prepares travel expense claim form and submits receipts.
- Creates and prepares clinic revenue reports used for budget forecast and preliminary meetings; as well as regular reports of revenue and expenditures.
- Collect, manage and record incoming daily payments and insurance billings, investigate/solve discrepancies.
- Register new contract staff to insurance provider accounts.
- Photocopy and fax medical documents; send-off requisitions for medical reports/information.
- Record and manage all no show, late-cancellation, pro bono and Wesmen athlete appointments for revenue and statistical purposes.
- Maintain and update current/archived medical filing system to P.H.I.A. regulations and standards.
- Collaborates on staffing needs and strategic planning to ensure the needs of the clinic are met.
- Sets up new contract therapists with appropriate key access and coordinates clinic schedules with Head Athletic Therapist.
- Create Athletic Therapy Centre brochure, updating information about our services and therapists.
- Manage the Athletic Therapy Centre website.
- Arranges and provides support for the Wesmen teams pre-season medical eligibility/requirements.
- Arrange medical courier for confidential medical records and imaging.
- Assist in clinic laundry operation.
- Perform software and electronics are updated and maintained.
- Liaise with internal departments regarding Athletic Therapy Centre needs and issues.
- Participates in supervision of Athletic Therapy Student Practicum Program: demonstrate the administrative duties block of the student practicum assignment.

**Qualifications**:

- High School Completion.
- Medical Administrative Assistant Certification would be an asset.
- One year of related experience.
- Clinical Aide experience would be an asset.
- Clinic Office Assistant experience would be preferred.
- Customer Service experience would be an asset.
- Effective communication (written and verbal).
- Knowledge of Clinicmaster, Cascade, Navori, Fusion and Prophix would be an asset.
- A working knowledge of Microsoft Office (Word, Excel, PowerPoint and Publisher)
- Ability to work in a busy setting that deals directly with students, staff, faculty and the general public.
- Ability to deal calmly with conflict and stressful situations.
- Must have the ability to independently plan, organize, coordinate and establish work priorities and deadlines.

**An equivalent combination of education, experience, skills, knowledge and abilities may be considered.**

**Condition(s) of Employment**:

- Must be legally entitled to work in Canada.

**The salary range for this position will be from $40,276.60 to $55,546.40 annually.**
