We offer housing options, health and well-being support, training and skills development, and ongoing care once youth move into the community.
As a primary self-funded agency we raise 75% of our $40 million annual operating budget.
**Role Overview**:
This individual is responsible for providing administrative support to staff in relation to all client information systems (Effort to Outcomes and the Shelter Management Information System). The Program Services Coordinator trains and registers new staff into the client information systems, provides quality assurance oversight and support, acts a liaison with the City of Toronto, runs reports and compiles and analyses statistics.
The Programs and Services Coordinator also provides administrative support to the Director Program Services, Program Management Team and to Board Committees as required. The position is responsible for updating and maintaining the Programs and Services policy and procedure manual and developing forms and resources as required. This position is responsible for creating and posting the front line staff schedule. As a member of the Administrative support team the position also provides back up support and administrative relief when needed.
**Responsibilities**:
- Provides administrative support to the Director of Program Services and as required, other Program Managers. Administrative responsibilities include: minute taking for Board and Program meetings, meeting coordination, updating policy and procedures manual,
- Compiles statistics as requested by various departments and for reporting to the Board of Directors.
- Assists the Emergency Shelter team in preparing reports and statistics on a daily basis. Works with and trains staff to ensure accuracy and timeliness of data entry in order to generate timely reports.
- Supports staff and management in training, data entry and analysis of all client information systems including ETO and SMIS.
- Acts as a liaison with the City regarding updated or changes to the City’s client information system
Internal Interactions:
- Primary interactions are with the emergency shelter team and the Research and Evaluation Teams, Director Program Services, Executive Assistant
- Connects with all departments across the agency
External Interactions:
- Board of Directors and members of Board committees
- City of Toronto
**Qualifications, Skills**:
- Minimum 3 years’ experience working in a social service or educational setting
- Superior knowledge of Office 365 and SharePoint platforms
- Expert skills in Microsoft Office and client information databases
- Strong problem solving skills
- Must be able to work independently and as a member of a team
- Strong written and verbal communication skills
- Capacity to prepare statistical reports and analyze data
- Excellent team work skills
- Flexible and adaptable
