HEAD OF EVENTS & HOSPITALITY

REPORTS TO: Director of Operations

POSITION TYPE: Full-time, five days a week. This is an onsite events-based position with commitments to evening, weekend and holiday hours depending on event needs.

COMPENSATION: Annual salary of $50,000 with comprehensive health and dental benefits package, the potential to participate in OMERS pension plan, free onsite parking.

The Head of Events & Hospitality, as a key member of the operations team, leads the Gallery’s venue rental and hospitality services program, ensuring exceptional service, performance, profitability, and efficiency. Responsibilities include setting pricing packages, managing reservations, and overseeing logistics for each event. The Head of Events & Hospitality interacts with various stakeholders and ensures successful venue rental delivery by serving as the main point of contact. The role involves collaborating with internal teams to manage and produce internal events and fundraising initiatives. It supports facility operations by embedding high standards, health, safety, security and general operational, practice, process, and policy.

Primary Responsibilities

Events & Hospitality
- Oversee and achieve the Galleries' annual venue rental revenue targets.
- Manage event promotion, preparation, and logistics to adhere to agreed prices and budgets.
- Maintain quality standards and records, and be responsible for ordering and obtaining supplies, as well as managing bar inventory.
- Cultivate professional relationships with external user groups, including clients, community partners, catering partners, and vendors.
- Direct and monitor event and hospitality activities and the overall performance of the team to agreed criteria, targets, and budgets.
- Provide creative input to develop strategies for growing hospitality performance, increasing efficiency, maximizing performance and value, and developing plans for future progress.
- Support the event and hospitality team in set up and take down for events to ensure completion of work.
- Oversee the venue rental management system and constantly working towards improving its efficiency.
- Manage event bookings from inquiry to contracting, internal and external correspondence, and invoicing, ensuring all client needs are met and client relationships are maintained.
- Ensure proper follow-up with clients after each event, including closing out all expenses and processing payments in conjunction with the Director of Operations.
- Maintain sales and revenue reports for individual contracted clients.
- Facilitate communication between approved caterers and vendors.
- Ensure that all policies and procedures for food services and events offered at the Gallery are followed appropriately.
- Manage and facilitating all bar-related and coffee service purchases for internal and external catering events.
- Negotiate to obtain best value and prices from suppliers.
- Support the planning, execution, and review of all staffing, infrastructure, operational, health & safety, and logístical matters related to events.
- Maintain a comprehensive calendar of external events and communicating it to all stakeholders, ensuring coordination of events across all departments.
- Collaborate with the development and curatorial departments to manage and produce internal events coordinating with external vendors.
- Assist the Guest Experience Department as required.
- Other duties as assigned.

Management & Administration
- Empower the event and hospitality team to promote teamwork, proactivity, meticulousness, and top-notch client services.
- Create comprehensive venue rental protocols, guidelines, and benchmarks.
- Recruit, mentor, and cultivate event and hospitality team members to foster an environment where they can thrive through support and empowerment.
- Identify ways to optimize the processes and systems in place to elevate the satisfaction of our hospitality clients.
- Ensures the AGB remains compliant with AODA regulations
- Ensure compliance and maintenance of liquor license.
- Support and assist the Director of Operations in ensuring emergency preparedness and security.
- Communicate with the Director of Operations regarding incidents occurring at the Gallery and share visitor feedback and inquiries with the senior management team.

Other Responsibilities:
