Client Service Coordinator

ABOUT US
**Job Summary**: The Client Service Coordinator is crucial for the smooth and efficient operation of our office, providing comprehensive administrative and client service support. This role acts as the vital link between our clients and document security representatives (DSRs), ensuring seamless service delivery and exceptional client interactions.
**Reporting Structure**: Reports directly to the Office Manager.
**Core Responsibilities**:Administrative and Operational Support**:
- Manage daily administrative tasks including invoicing, maintaining organized records, and managing office supplies.
- Participate in departmental meetings to stay updated and contribute to continuous process improvement.
- Assist with the setup and configuration of meeting rooms and company events.
- Maintain a professional reception area, greet and direct guests, and uphold office security protocols.
**Client Service and Dispatch**:
- Act as the primary point of contact for scheduling and rescheduling services, handling inquiries, and confirming service appointments.
- Support DSRs by providing essential information such as service addresses, scheduling details, and client communications.
- Ensure exceptional customer service by addressing client needs and resolving inquiries promptly.
- Manage and maintain updates for existing clients and assist in the onboarding of new clients within the Records Management department.
**Data Entry and Reporting**:
- Record and submit parking tickets and other administrative expenses.
- Report and enter data concerning DSRs’ daily performance metrics and daily trip logs.
- Assist in gathering data and compiling reports as requested by management.
**Qualifications**:
- Degree or diploma in Office/Business Administration or a related field preferred.
- Proven experience in an administrative or customer service role within a dynamic environment.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication and interpersonal skills, with a focus on proactive customer engagement.
- Ability to handle confidential information discreetly and maintain a high level of integrity.
- Required to pass a clean criminal background check.
