**SUMMARY OF DUTIES**:
Under the direction of the Customer Support Manager, the Spare Parts Coordinator is responsible for the general support and day to day management of all assignments related to spare parts through identifying spare parts, submitting a Request for Quote (RFQ) and Purchase Requests to purchasing, and processing spare parts orders for customers. The Spare Parts Coordinator works directly with customers
and internal staff to provide technical assistance as needed.

**DETAILS OF DUTIES**:

- Work with Cimcorp project team to create spare part lists for jobs being shipped to customer sites.
- Verify the accuracy of parts requests, confirm they are on the equipment and are required as a spare part.
- Enter spare parts orders into the ERP system.
- Prepare, review, and communicate spare part lists and quotations with customers in response to client RFQs.
- Receive PO’s from customers and confirm that the pricing and terms are consistent with the quote sent to the customer.
- Maintain existing RFQ and PO Logs, and use ERP system reports to track and update RFQs and POs.
- Main point of contact for internal staff and customers to address issues related to spare parts orders.
- Process customer orders; ensure all Cimcorp processes and procedures are followed including sending order acknowledgements through to Purchasing, and forwarding shipping requests to Shipping/Receiving.
- Manage spare parts emergency requests.
- Work closely with other departments to complete internal purchase orders and quotes; act as Spare Parts point of contact for corporate functions such as Logistics, Finance, and Purchasing.
- Ensure all Cimcorp health and safety policies, procedures, and responsibilities under the OHSA, are followed during all work activities both at the installation site, and at Cimcorp Automation.
- Participate on work group team projects and/or corporate related activities as assigned.
- Perform other related duties as assigned.

**SKILL/KNOWLEDGE REQUIREMENTS**
- Experience working in a customer service environment dealing with clients to resolve problems.
- Experience reading mechanical drawings are considered an asset.
- Knowledge of machined parts, fabrication processes an asset.
- Ability to work under pressure and learn quickly in a multi-disciplined environment.
- Demonstrated ability to work independently and as part of multi-function team.
- Excellent interpersonal and communication skills; ability to deal courteously and effectively with all levels of staff, the public, customers, partners, and any other potential stakeholders.
- Problem-solving skills, discretion, and demonstrated ability to exercise good judgment when handling confidential/sensitive information and communicating with customers regarding controversial matters.
- Effective organizational, time management, and multi-tasking skills, with ability to prioritize work to meet customer service standards and deadlines without compromising service.
- Demonstrated ability to focus on continuous improvement; willingness to review existing processes and suggest ways to improve the customer experience.
- Advanced customer service orientation with a focus on ensuring provision of effective customer service.
- Proficiency in Microsoft Word and Excel, Outlook, and Database Management.
- Spoken/written knowledge of additional languages an asset.

**QUALIFICATIONS/CERTIFICATIONS**
- Post-secondary diploma specializing in engineering technology, or equivalent combination of education and experience.
- Three (3) or more years’ experience working in an industrial/engineering/automation industry in an administrative capacity

**TRAVEL REQUIREMENTS**
- Minimal travel is required for this position.
