Supports the Medical Genetics department by maintaining schedules and booking appointments in all required software programs
Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
**DUTIES AND RESPONSIBILITIES**:
- Calls patients to book appointments as directed by Genetics Physicians or Genetic Counsellors. Enters PIH and appointment information into the PCS, Outlook, Shire and OTN if appropriate. identifies missing or incomplete information; gathers missing information in consultation with department secretary, counsellor or physician. Accurately books appointments using checklist to ensure accurate and complete work; follows up with physician and counsellor offices or others as required to ensure information is complete and accurate. Maintains charts and files appropriately.
- Creates the appropriate paper chart and hands off to clinical professional
- Revises Service Block Allocations in scheduling system as required; provides assistance to staff regarding appointments, schedules, as required.
- Performs other clerical duties as assigned (eg. filing, letter send outs etc.), maintains office supplies/paperwork and assists with inquiries from patients, families, medical and hospital staff.
- Safety Act, hospital safety policies, and dept/unit established procedures at all times. Where possible, take corrective action to address a hazard, otherwise report the unresolved hazard, dangerous circumstance, unsafe situation to self, other co-workers or the community, to their supervisor. Should the employee suffer a workplace injury or illness, he/she will advise their supervisor; actively participate in identifying and resolving the underlying cause(s),and participates in early and safe return to work as per Workplace Safety & Insurance Act.
- Understands and is familiar with all pertinent KGH policies and procedures including those relating to workplace conduct. Complies with the KGH Commitment to uphold the Workplace Conduct and Reporting of Inappropriate Conduct policy and behaves in a manner that is consistent with the guiding principles and expectations.

**BASIC QUALIFICATIONS**:
- College Diploma (1 year) in Business/Office Administration or equivalent combination of education and experience
- Keyboarding 45 w.p.m. on test.
- Demonstrated ability with above average grammar, written and verbal communication skills, including good grammar, composition.
- Evidence of strong organizational skills with the ability to work under pressure, cope with frequent interruptions and meet deadlines is essential.
- Excellent interpersonal skills with demonstrated ability to communicate effectively, courteously and tactfully with all types of people.
- Work pace has regular daily, weekly and monthly deadlines. It is necessary to concentrate on detailed work with frequent interruptions.
- Proven oral and written communication skills
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
