**Procurement Agent Job Description**
We are seeking a driven and detail-oriented Procurement Agent to be responsible for selecting and purchasing quality products for our business for use and resale. Your responsibilities will include processing purchase orders, negotiating with suppliers, tracking orders, creating and maintaining an inventory, quality assurance and liaising with inventory teams and management. The buyer will work with staff across departments to forecast the needs of the business and make purchase decisions based on demand. You will also prepare quotes to existing and new clients.
The Procurement Agent should be analytically minded and possess excellent negotiating skills to secure the best prices according to budget. Knowledge of sales and marketing principles is advantageous.
**Procurement Agent Responsibilities**:
- Prepare quotations to present to new and existing clients.
- Research, select and purchase quality products and materials.
- Research and respond to RFQs, RFPs, and tenders.
- Build relationships with suppliers and negotiate with them for the best pricing.
- Process requisitions and update management on status of orders.
- Update inventory and ensure that stock levels are kept at appropriate levels.
- Arrange transport of goods and track orders to ensure timely delivery.
- Coordinate with inventory team, management, and stockroom as required.
- Assess quality of stock received and escalate any discrepancies to suppliers and management.
- Ability to travel
- Identify high impact cost reduction opportunities
- Leverage the organization’s buying power to optimize costs, access new suppliers, reduce lead times, and guarantee supply
- Develop and maintain relationships with existing and potential buyers and suppliers to the organization
- Respond to customer service inquiries and clarify requirements and provide information as needed.
- Assess requirements of an establishment and develop specifications for equipment, materials and supplies to be purchased
- Invite tenders, consult with suppliers and review quotations
- Determine or negotiate contract terms and conditions, award supplier contracts or recommend contract awards
- Establish logistics of delivery schedules, monitor progress and contact clients and suppliers to resolve problems
- May hire, train or supervise purchasing clerks.
- Overseeing and supervising employees and all activities of the purchasing department.
- Preparing plans for the purchase of equipment, services, and supplies.
- Following and enforcing the company's procurement policies and procedures.
- Reviewing, comparing, analyzing, and approving products and services to be purchased.
- Managing inventories and maintaining accurate purchase and pricing records.
- Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
- Maintaining good supplier relations and negotiating contracts.
- Researching and evaluating prospective suppliers.
- Preparing budgets, cost analyses, and reports.
Qualifications:
- A degree in business administration or a related field, or related experience
- Experience as a purchasing manager or in a similar position
- Knowledge of inventory and supply chain management
- Proficiency in Microsoft Office and purchasing software
- Excellent communication skills, both written and verbal
- Strong critical thinking and negotiation skills
- Strong planning and organizational skills
- Ability to work independently
Pay: From $52,000.00 per year
