This position is responsible for the day-to-day general management of the administrative, HR and accounting functions of The Hamilton Club. The position manages/processes financial transactions, including accounts receivable, accounts payable, payroll, purchasing and receiving, maintenance of general ledger, month-end procedures including preparation and analysis of monthly financial statements and cash flows, coordination of the annual audit, and assistance in the preparation of the annual budget and updating of quarterly forecasts. It is also responsible for maintaining the information/technology systems as well as human resources, Board and committee administration, and communication functions of the Club. As the Controller of the Club there will be a strong emphasis on the internal audit function and assisting each department in better managing their business.

**DUTIES AND RESPONSIBILITIES**
- Directs financial operations of the Club.
- Formulates, receives, and recommends policy proposals for approval relating to accounting and auditing, the budget, revenue and cost control procedures, preparation and payment of payrolls, tax matters, HR matters, compilation of statistics and office methods and procedures.
- Prepares the monthly trial balance and resulting financial statements for the Club, including the income statement, balance sheet and statement of changes in financial condition, along with required supporting schedules and other data necessary for financial reports and records.
- Prepares operating budgets and financial forecasts in coordination with the various applicable committees, departments, and GM/COO; analyzes financial information, monitors budgeted versus actual expenditures and advises management about variances and their potential causes; recommends corrective actions to help assure that budget goals are met.
- Reconciles monthly ledgers including receivables, payables, bank accounts, asset accounts and wage accounts. Audits all cash and charge expenditures.
- Prepares applicable federal and provincial tax returns.
- Prepares accounting reports as necessary and appropriate for dissemination to the GM/COO, Board of Directors, and other Club Committees.
- Prepares a full report of the year’s financial operations for presentation at the Annual Meeting.
- Works with the GM/COO and department heads to plan and manage capital budgets and cash flow statements.
- Manages, reviews, suggests, and monitors changes in the automated financial management and accounting system.
- Reconciles bank statements.
- Audits members and guests’ charges; checks POS end of day reports to assure that all receipts for member’s accounts have been posted.
- Responsible for the billing of members, monthly statements and monitors collection of past due accounts and advises GM/COO when difficult situations may arise.
- Manages and conducts internal auditing programs to help ensure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed.
- Works with the Club’s external auditors to assure that procedures are consistent with Club policies.
- Prepares and verifies reports made to agencies and professional organizations for which dissemination is consistent with Club policies.
- Directs, participates in, and verifies the taking of inventories for food, beverages, supplies, equipment, furnishings, and other Club assets.
- Verifies that all insurance records for Club property are properly maintained.
- Informs and advises other department managers about the financial aspects of their responsibilities.
- Monitors to assure that procedures for effective receiving and inventory control are in place and consistently used.
- Negotiates and maintains contracts for maintenance of computers and office equipment.
- Attends Board, Finance & Audit Committee and other meetings as required.
- Negotiates and administers applicable employee benefits and gathers information and assists the GM/COO in making decisions about employee benefit plans.
- Manages assigned projects as they relate to the department and Club’s needs.
- Safeguards all funds in bank accounts; assures that revenues are properly and correctly deposited and the drawing of all checks.
