The Purchasing Administrator works directly with the buying team and is responsible to compile, record and input information as required for the receipt of purchased materials as needed to meet operational requirements. This position ensures timely receiving, investigating, filing and documentation accuracy in accordance with company guidelines.

This position is based in the Edmonton, AB office.

**Responsibilities**:

- Process invoices by way of 3-way matching to proper documentation and receipts, or written authorization in the case of exceptions.
- Reconcile receipt documentation on a daily basis.
- Support Purchaser on daily administrative tasks.
- Assist with month-end procedures (expense accruals, cut-off etc.).
- Ensure proper signatures and authorizations are obtained in accordance with the Bird Designation of Authority.
- Maintain the filing system for processed invoices, packing slips and receipts.
- Research and resolve invoice issues with vendors on a timely basis.
- Inform supervisor of payable related issues that are in contravention of company policies or procedures.
- Receive site delivered material in Vista/Viewpoint from Packing Slips retrieved from project sites.
- Request and track missing packing slips from job sites and reconcile information against supplier invoices.
- Work with Accounts Payable department to resolve conflicting information from purchase order compared to supplier invoice.
- Enter information into our Vista system in an accurate and timely manner.
- Pay vendors accurately.
- Maintain files in a current and accessible manner.
- Complete vendor statement reconciliations each month.
- Other duties as need to meet operational requirements.

What We Are Looking For
- Undergraduate degree or diploma in business or supply chain management
- 1-2 years experience in a purchasing/procurement position is an asset
- Familiarity with procedures in Accounts Payable is an asset
- Experience working independently and handling high volume work demands
- Computer skills with preference in experience in Vista/Viewpoint, Microsoft Office Suite with advanced Excel skills
- Ability to forge, grow and maintain positive relationships
- Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
- Ability to work within tight deadlines and prioritization of work to achieve them
- Strong analytical, critical thinking, troubleshooting, problem-solving skills and a high degree of accuracy and attention to detail
- Highly developed interpersonal, communication, organizational skills and customer service mindset
- Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment
- Ability to work collaboratively in a team environment with a positive attitude
- Superior written and verbal communication skills
- Ability to travel as required
