**SUMMARY**:

- Reporting to the Purchasing Manager, the Buyer is responsible for purchase order management and administration. This includes issuing purchase orders, changes and cancellations and any necessary follow-up (both internally and externally) to ensure orders are delivered and processed. This position requires the ability to prioritize responsibilities in a fast-paced environment, and switch between projects consistently and quickly. Good judgment and excellent written and oral communication skills essential._

**KEY ACCOUNTABILITIES**:
**Responsible for the placement and data entry of orders by**:

- Preparing and processing purchase orders for supplies, services and equipment;
- Monitoring, tracking and expediting orders to ensure products are shipped and delivered on time;
- Ensuring quality and performance of product and provide corrective actions as required;
- Maintaining records and follow up files of purchases, shipments, and related matters;
- Generate reports, monitor invoices and expense reports.

**Ensures the accurate and on-time data entry of receipts by**:

- Verifying actual product against purchase order;
- Processing receipt of goods into purchasing systems and forward to accounting in a timely manner to ensure payments to suppliers;
- Contacting suppliers to resolve missed deliveries, short shipments, product quality issues and pricing discrepancies.

**Assists with purchasing administration by**:

- Ensuring purchasing spreadsheets are up to date;
- Building and developing relationships with key suppliers and customers;
- Assisting with HFE initiatives and updating documents and spreadsheets as required;
- Attending EMS committee meetings and taking minutes;
- Assisting the Purchasing Manager on special projects focused on cost reduction initiatives;
- Composing general correspondence and written material;
- Complying with the Aquarium’s organizational health safety standard;
- Performing additional duties as required.

**Responsible for Inventory Management including costing and inventory by**:

- Ensuring that food costs are accurate at all times;
- Ensuring Food Services order sheets are up to date;
- Assisting with monitoring of physical inventory;
- Assisting with month end prep and monthly inventory summaries for Food Services.

**QUALIFICATIONS**:
**Education and Experience**
- Enrollment or completion of Purchasing courses recognized by SCMA (Supply Chain Management Association) or equivalent is considered an asset;
- 1-2 years of purchasing experience required;
- Possess procurement experience and local sourcing knowledge for Canada - preferably the Greater Vancouver area;
- Must have office experience and ability to support several managers while handling multiple priorities;
- Strong knowledge of Food Services, including Catering;
- Knowledge of inventory control management systems an asset.

- Able to organize, multi-task and prioritize work effectively with a high sense of urgency;
- Excellent communication skills with the ability to communicate ideas and instructions clearly and concisely to staff, supplier and delivery personnel. Able to communicate both orally and written in English;
- Able to work independently and maintain a positive attitude within a very busy environment where change occurs on a regular basis;
- Strong math skills; ability to analyze purchases and product statistics to support effective decisions;
- Ability to coordinate with other staff and departments;
- Deadline driven, personable and team oriented;
- Exceptional attention to detail and accuracy;
- Solid problem-solving techniques;
- Ability to exercise tact and discretion in handling confidential information and sensitive matters;
- Work together with colleagues as a team to support overall procurement strategy and to meet departmental goals;
- Strong computer skills; proficient in MS Outlook, Word and Excel.

**Working Conditions**:

- Sedentary position, requires considerable keyboard work, some telephone work and occasional on-grounds mobility;
- Job requires the ability to safely lift up to 20 kilograms;
- Flexibility in schedule is required during office hours;
- Regular schedule is Monday to Friday;
- Some weekends and holidays may be required on an exception basis.

**SALARY RANGE: $22 - $32 PER HOUR
