F&O and Corporate Affairs Coordinator

- We are looking for talent that can support our efforts across the Finance & Operations and Corporate Affairs organizations. You will be working in a rapidly changing environment, which means that you are curious, able to adapt to new situations or processes and grasp new knowledge.- You will provide general administrative support to senior leaders. Administer general business office activities. Work within established guidelines and SOPs.**Key Essential Functions**:
- Support VP, director, and associate director(s)
- Schedule meetings and coordinating agendas
- Coordinate offsite department meetings and functions
- Coordinate travel arrangements
- Administer systems (such as archiving, procurement, workflow)
- Onboard new employees and setting up workstations
- Project coordination
- Finance administration - track and summarize budgets
- Data entry (spreadsheets & databases)
- Data analysis and spreadsheets development (Intermediate)
- Train employees on processes or procedures
**Qualifications**:
- You are holding a post-secondary education (College Diploma or University Degree)
- 3-5 years of administrative support, experience in fast-paced environment preferably supporting senior leadership.
- Experience handling finance administration activities such as data entry, budget reconciliation, purchase orders, billing accruals, etc.
- Exposure to project bases work
**Knowledge, Skills, and Abilities**:
- Expert MS Outlook Calendar and PowerPoint skills
- Advanced MS Word and Excel skills
- Advanced archiving, procurement, and workflow systems skills
- Intermediate Intranet Administration and Courier Systems skills
- Proven planning, organization and priority setting skills
- Excellent communication skills (verbal and written) to effectively work with others
- Bilingualism (English, French) will be an asset
- Proven ability to exercise considerable discretion and independent judgment
- Capable of analysing challenging information requests
- Proven ability to coordinate projects and multiple tasks
- Strong attention to detail and numerical accuracy
- Ability to enter data, track, and report department metrics
- Team player with excellent listening, collaborative, and polished communication skills.
- Strong business acumen - Ability to interact with company executives with poise and professionalism.
- Self-motivated with ability to work independently, and a strong desire to exceed expectations.
- High integrity and ethics.
- Action and Solutions-oriented with superior customer service skills
