Operations Coordinator

Purpose:
Join our team as an Operations Coordinator, where you'll manage interactions between customers and field staff in a professional and friendly manner. Your role will be crucial in ensuring exceptional service quality. This is a 24-hour on-call position, requiring you to handle calls as they come in. You will report to the General Manager and support various administrative functions.
**Reporting Structure**:
- Reports to the General Manager
**Main Responsibilities**:
- Call Management: Receive intake calls for Hydrovac Services (days, nights, weekends - on-call rotation) and manage the dispatch schedule.
- Fleet Coordination: Plan and route daily dispatches, sending next-day dispatches by 3:30 pm.
- Data Entry: Input pertinent data into Jonas (ERP), schedule crews and resources (including rental equipment, extra materials, labor, and subcontractors) as required.
- Training Coordination: Liaise with the Health and Safety team and customers to schedule training modules for the fleet.
- Issue Resolution: Address daily operational issues from the field, escalating to the Operations Manager and General Manager when necessary.
- Communication: Serve as the first line of communication between field and office staff.
- Timesheet Management: Approve and adjust employee timesheets based on schedules, submitting to payroll once completed.
- Subcontractor Management: Issue purchase order numbers for subcontractors.
- Emergency Response: Facilitate all emergency calls during assigned on-call duties.
- Quotation Preparation: Prepare quotes for new customers based on the approved price list, maintain a master price list for transparency, and monitor bids and tenders, pulling necessary data for accurate quote preparation.
- Payment Processing: Process COD customer holds and final payments.
