The Opportunity

The Maintenance Administrator is responsible for providing administrative and clerical support to the Maintenance and Engineering team at DP World Vancouver. This position is a 12 month contract full-time.

In this role, you will:

- Administer and coordinate key elements of the Maintenance and Engineering programs, including the documentation and records related to work orders, work plans, warranty work, service requests and safe working procedures.
- Conduct and assist with monitoring programs, to identify improvement opportunities in data collection, processing, and reporting.
- Document control and record keeping for inspections, reports, KPIs and asset information.
- Manage completed work order data collection and history tracking; maintain and update asset data management and inventory support.
- Maintain training database for the different shops at DP World Vancouver and coordinate the training of employees in coordination with the Training Department and the Maintenance Team
- Support administration of SSE initiatives including incident tracking, facilitating safety orientations for department visitors and contractors, action administration and collecting and reporting damages.
- Acting as the coordinator and liaison for training, orientation and communication with Operations and HSSE.
- Coordinate the daily dispatch of work crews, including verification of availability and relevant data entry and tracking.
- Other duties as assigned.

What you bring to the role:

- Post-secondary education will be considered an asset.
- Minimum 1-year experience working in an office environment or administrator role
- Ability to work proactively to complete tasks and responsibilities independently.
- Exercise discretion, tact and judgement when handling confidential and sensitive information.
- Exceptional communication and interpersonal skills, including the ability to build and maintain positive working relationships with all departments and levels.
- Extremely detailed and quality oriented.
- Exceptional computer skills and ability to quickly learn new software.
- Excellent organizational and planning skills, so that workflow is managed efficiently and accurately.
