Position Available: Events Planner (Canada Summer Jobs Student)

**Tasks**:
Research and Planning:

- Research potential event venues, suppliers, and services.
- Assist in brainstorming event themes and concepts.

Vendor Coordination:

- Contact vendors and service providers for quotes and information.
- Assist in bookings.
- Maintain communication with vendors leading up to the event.

Logistics and Documentation:

- Aid in creating event schedules, timelines, and checklists.
- Organize event-related documentation and files.
- Assist with data entry and record-keeping tasks.

Communication and Coordination:

- Liaise with various departments and team members.
- Assist in distributing information and ensuring everyone is updated on event details.
- Collaborate on communication strategies for effective coordination.
- Answer incoming calls related to events.
- Book volunteers for tasks, for events.

On-Site Support:

- Assist with event setup, including arranging decorations and equipment.
- Help manage on-site logistics during the event.
- Support with breakdown tasks after the event concludes.

Meeting Participation:

- Attend planning meetings and take notes.
- Contribute ideas and suggestions for event improvement.

Physical Tasks:

- Perform physical duties as needed during event setup and breakdown.
- Lift and move event-related items adhering to safety guidelines.

**Responsibilities**:
Supporting Event Planning:

- Assist the Events Coordinator in executing tasks related to event planning.
- Work diligently on assigned tasks to contribute to the success of events.

Vendor and Service Management:

- Help in managing vendor communications and relationships.
- Ensure timely responses and follow-ups on vendor inquiries.

Logistics Organization:

- Support in maintaining organized event documentation and schedules.
- Contribute to keeping records updated and accessible.

Effective Communication:

- Communicate clearly and professionally with internal teams and external stakeholders.
- Collaborate on effective communication strategies to ensure smooth coordination.

On-Site Assistance and Flexibility:

- Assist in creating a well-prepared event setup and ensuring smooth operations during the event.
- Show flexibility in adapting to changing event needs and schedules.

Active Participation and Learning:

- Engage actively in meetings, providing input and suggestions.

Must be able to meet all the criteria of Canada Summer Jobs:

- Are a Canadian citizen or a permanent resident or have refugee status in Canada (non-Canadians holding temporary work visas or awaiting permanent resident status are not eligible).
- Are legally entitled to work in Canada (have a valid social insurance number).
- Are between 16 and 30 years of age inclusively at the start of employment; and

**Job Types**: Full-time, Seasonal

**Salary**: $17.00 per hour

Schedule:

- Monday to Friday
- Weekends as needed
