We are currently looking for an Assistant, Corporate Services in our head office located in Montreal, Quebec. In this role, you will assist in the supervision of the day-to-day the Corporate Services operations. You will be responsible for handling office and building requests, maintain inventory, replace the receptionist, assist with external events, and other administrative duties.

WHAT YOU'LL BE DOING | THE ROLE

Assist in with specific banking responsibilities (deposits and pick-ups)
Oversee box storage and destruction account
Oversee access card account
Support in main reception area responsibilities
Reservation of conference rooms
Preparation of courier
Oversee local hotel and car rental accounts
Preparation of reports, memorandums, and presentations
Communicate and coordinate with suppliers
Coordinate new employee onboarding
Assist with moving office furniture, equipment, and boxes
Liaise with building maintenance and cleaning staff
Maintain office cleanliness
Maintain inventory
Manage incoming and outgoing mail and deliveries
Oversee coffee machines (maintenance and cleanliness)
Oversee micro-market
Participate in preparation of company events
Assist in Health and Safety services

WHAT YOU BRING | THE PERSON

Experience as Receptionist/Hostess, or in a similar role in customer service, hospitality, or facilities environment.
Excellent oral and written communication skills in both English and French.
Proficiency with MS Office suite, Acrobat Reader, including table creation, mail merges and basic formatting.
A friendly, polite, customer-service oriented, and professional manner.
High collaboration with a proactive and team player approach.
Ability to work well with mínimal supervision.
Problem-solving and multitasking abilities.
