Job Summary

The Parking & Access Department at UBC relies heavily on complex, specialized systems and software to efficiently manage parking and access across the entire campus. The Access Coordinator is responsible for supporting the implementation, execution, and improvement of parking and access systems. The Coordinator performs a variety of complex administrative and technical tasks in the support of initiatives that deliver safe, secure access to UBC buildings, facilities and equipment.

The Parking Access Coordinator is responsible for the support, development and maintenance of systems used within the Parking and Access portfolio. This position provides technical and administrative support to UBC staff end-users of the systems including trouble shooting, configuring and upgrading software packages, conducting training sessions for software and administration of data.

Organizational Status

Reports to the Parking and Access Systems Manager.

Work Performed- Configures, updates and troubleshoots Parking and Access software packages based on established policies, procedures, and guidelines.- Participates in developing and updating existing systems through project-based work including working with diverse stakeholder teams.- Participates in developing and conducting training programs for end-users of Parking and Access software.- Documents procedures, guidelines and technical support wikis using LEAN methodology to ensure a strong knowledge base for end-users of Parking systems.- Supports the implementation of new Parking and Access policies or initiatives on campus by instructing the University Community on policies, procedures and guidelines.- Conducts periodic system audits as required.- Participates in conducting end-user audits to Parking and Access policies and guidelines.- Participates with UBC IT on the installation and configuration of software to ensure operational objectives are met.- Analyzes systems data and recommends improvements in procedures and processes.- Carries out any other related duties required in keeping with the qualification and requirements of positions in this classification.

Consequence of Error/Judgement

Failure to monitor and report non-compliance to departmental policies and procedures, key-performance-indicators and anomalies could lead to compromised customer service and building security.

Supervision Received

Works to general terms of reference within broadly established policies and procedures; references superior on major decisions that may affect other decisions or departments but otherwise acts with significant latitude; works collaboratively within the Systems team.

Minimum Qualifications

High school graduation and business training in office procedures and practices and a minimum four years of related experience or an equivalent combination of education and experience.

Preferred Qualifications- Familiarity with relational databases required.- Experience providing customer service to a diverse client group.- Ability to effectively use Microsoft Outlook, Word, Excel, Access at an intermediate level.- Ability to maintain accuracy and attention to detail.- Ability to identify and correct missing and incomplete data.- Ability to input and extract data, and compile data reports.- Ability to analyze problems, identify key information and issues, and effectively resolve.- Ability to effectively manage multiple tasks and priorities.- Ability to provide quality service to customers in a courteous, patient manner.- Ability to communicate effectively verbally and in writing.- Ability to complete work assignments within timelines and with mínimal supervision.
