**Position Description**

In partnership with FIREFLY and other outside partner agencies, the FASD Administrative Assistant shall function as a part of the KCA/FIREFLY Child and Youth Developmental Services team to provide clerical and administrative support to the FASD program staff.

Position Title: FASD Administrative Assistant

Department: Developmental Services for Children and Youth

**Salary**: Dependent upon qualifications and successful probationary period

Term: Maternity Cover - 1 year full time

Location: Kenora—Firefly Location, Cameron Bay Children’s Centre, 820 Lakeview Dr.

Reports to: NWO FASD Clinic Manager

**Duties and Responsibilities**:
Ø Provide clerical and administrative supports to the FASD team

Ø Compile and edit reports for distribution for families and other agencies

Ø Provide receptionist duties including but not limited to, scheduling appointments and conference calls, booking a meeting space

Ø Sort and deliver incoming/outgoing mail

Ø Maintenance and troubleshooting for all copiers, fax machines, postage meters, etc.

Ø Assist with the preparation for scheduled clinics as required, including shopping for snacks/office supplies and monitoring gift cards and receipts

Ø Operate two separate electronic medical data bases - Mustimuhw and EMHware

Ø Attend training and meetings as required

Ø Additional duties as required

**Qualifications**:
Ø College diploma in Business, Office Administration or equivalent combination of education and experience

Ø Must have good working knowledge of Adobe Pro, Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher)

Ø Excellent written, oral, interpersonal and presentation skills

Ø Excellent organizational skills and the ability to work independently

Ø Excellent problem solving and analytical skills

Ø Must be able to maintain strict confidentiality

**Position Requirements**

Ø Valid driver’s license and vehicle

Ø Must be willing to travel when required
