The Accounts Payable Administrator is responsible for posting vendor invoices, reconciling vendor statements and making payments to vendors in accordance with dealership payment policy. He/She ensures that proper purchase orders and proof of receipt are matched with all invoices posted for payment and obtains approval for payment from the department manager whenever this documentation is missing. He/She assists with other accounting duties as required.

DUTIES AND RESPONSIBILITIES:

- Match invoices with purchase orders and packing slips. Ensure pricing matches, follow up with employee that issued purchase order for correction when necessary.
- Code invoices using Chart of Accounts and distribute expenses according to usage.
- Obtain appropriate payment approval for invoices.
- Post invoices into dealership computer system on a daily basis.
- Reconcile vendor statements and obtain copies of any missing invoices. Track down original invoice to prevent duplicate payment.
- Ensure accounts payable month-end is complete by 5th working day of the month.
- Balance vendor core reports and ensure prompt receipt of credits owed.
- Follow up on credits owed to the dealership from vendors.
- Balance sublet schedule monthly.
- Run EFT and/or cheques to pay vendors and give to signing officers for signatures.
- Prepare cheques for mail and ensure that all cheques to be swapped are given to A/R for holding.
- File cheques and back up documentation in alphabetical files.
- Prepare requisitions for manual cheques when required.
- Answer all vendor inquiries.
- Assist with annual parts inventory.
- Assist with reception and A/R when asked and available.
- Assist with year-end reporting.

Dealership experience in accounts payable preferred. Must have working knowledge of Microsoft Office. Will be trained on dealership's computer system.

**Job Types**: Full-time, Fixed term contract
Contract length: 18 months

**Salary**: $47,000.00-$51,000.00 per year
