Administrative support to the DOS with primary focus on daily input of Group Reservations ensuring consistency and accuracy.
- Handling ALL group inquiries/bookings
- Handling general sales inquiries calls in absence of DOS
- Prepare group proposals, agreements, Quote rates, Follow ups with proposal, agreement and cutoff date for each group
- Ensure organization of group and details (assign rooms, rooming list, payments, baggage handling, arrival and departure, deposit, special requests, etc.)
- Do follow up with FO department for changes in group lists.
- Updating Group Calendar and corporate rates to Front desk manager
- Create, update and manage data base of current, past and potential clients
- Assist Director of Sales with all administrative duties.
- Do site inspections for some clients (corporate and leisure, weddings)
- Make reservations for top Corporate clients of Hotel.
- Make sales reports in a weekly basis and submitting to GM
- Prepare reports for groups with commissionable rate, for payment
- Doing after check out follow up with all groups with survey and thank you letters
- Answer all room and convention leads (guest rooms only) coming from Meeting Broker, hotel planner, CVent, Tourism Vancouver
- Receive and responds to all brand RPFs which involves rooms and meeting enquiries and submit based on IHG brand standards.
- Handle mail outs and relevant sales materials for sales department
- Designing special flyers and promotions
- Attend and Assist with in-house inspections and functions including after hour functions
- Assist Reservations and Front Desk if required especially involving corporate companies
- Working with IHG brand revenue for system issues (FIT rates, booking links)
- Complete any other duties assigned by DOS or GM

**Job Type**: Part-time
Part-time hours: 24 per week

**Salary**: $20.00-$22.00 per hour
