The Parish Operations Manager is responsible for creating a welcoming office environment and for the overall administrative, operational and financial functions within the Parish. The incumbent is also responsible for the coordinating and managing employees and volunteers who provide routine administrative, or facilities report in the Parish.

This position is a key member of the parish staff reporting directly to the Pastor, coordinates staff meetings, contributes to and attends various committee meetings and Archdiocesan functions as required. The incumbent liaises with Parish staff and Ministry Leads regarding parish programs, schedules and meetings.

The main duties and responsibilities include:

- Responsible for the operation of the Parish Office
- Maintaining the parish website including the Parish calendar
- Overseeing the preparation and coordination of paperwork, certificates and the updating of registry books and databases such as Parish Friendly associated with the Sacraments: Baptism, First Communion, First Reconciliation, Confirmation, Marriage and Funerals
- Ensuring all reports, including the annual reports are submitted to the Archdiocese as required
- Coordinating the acquisition and maintenance of various office equipment; printers/copiers, computers, telephone system and audio-visual equipment
- Coordinating the maintenance of the Parish infrastructure - churches, halls, rectories and surrounding properties
- In consultation with the Finance Council and Parish Leadership Team, establishing pricing and rental requirements for the rental of Parish spaces while adhering to the guidelines of the Archdiocese of Halifax-Yarmouth
- Ensuring the staff, volunteers and properties are in compliance with all Occupational Health and Safety and Fire Safety rules
- Acting as the Occupational Health and Safety representative for the Parish
- Ensuring the timely delivery of the annual and other requested reports for the Archdiocese and other agencies
- Overseeing the issuance of keys for the churches and offices/rooms in the churches
- Acting as the Parish’s contact for Responsible Ministry Protocol as defined by the Archdiocese of Halifax-Yarmouth

**Qualifications**

The incumbent will:

- Be a practicing Catholic able to and committed to active participation in the sacramental life of the Church and the Parish Community
- Be an experienced office manager with demonstrated experience in organization and planning skills with the ability to prioritize and work well in a multi-tasking environment
- Demonstrated above average written and oral communications skills with the ability to maintain confidentiality, diplomacy and hospitality
- Demonstrated skills in project management
- Demonstrated ability to coordinate external service providers
- Be proficient and able to demonstrate skills in technology such as MS Office (Word, Excel, PowerPoint & Outlook), Google Suite, and website tools
- Have strong interpersonal skills with the ability to engage parishioners and visitors to the Parish
- Be flexible and adaptable to meet the needs of the Parish
- Strong sense of ethics and the ability to handle sensitive and confidential or private information with tact and discretion.
