Under the general supervision and direction of the Director of Fire Rescue Academy, the Academy Fire & EMS Administrative Support is responsible for a variety of administrative functions to support a number of external and internal service requests that are related to coordination and management of the Fire Rescue core services performed at the Academy. This position will report to the Academy Clerical Supervisor (Clerk C) for daily duties, time away, etc.

Some of these services include providing day to day administration support for the Academy Directors and related Training Officers. This position will be responsible for Purchase Order processes for EMS Education & Training and the Fire Rescue Academy as well as Credit Card purchase reconciling for the same branches for staff that have assigned credit cards.

The Academy Fire & EMS Administrative Support will also be responsible for EMS Education and Training administrative duties. They will also be in charge of Paramedic Records and Training administrative tasks as required.

**As the **_Academy Fire & EMS Administrative Support (CLERK B) _**you will**:

- Process purchase orders for EMS Education & Training and the Fire Rescue Academy
- Be responsible for performing administrative duties for EMS Education and Training
- Maintain Paramedic Records including updating student training records, providing student transcripts and other related administrative duties
- Process credit card invoices for EMS Education & Training and the Fire Rescue Academy
- Be responsible for providing general assistance and support including general academy facility duties

**Your education and qualifications include**:

- Formal training in business and/or office procedures or an equivalent combination of training and experience.
- Two (2) or more years’ experience providing administrative support in a fast-paced environment.
- Experience working within an emergency services environment is an asset.
- Experience working with confidential documents/information and exercising discretion in providing information to others.
- Experience using Microsoft Word, Outlook and Excel at an intermediate level.
- Experience drafting, editing and proofreading documents and correspondence.
- Experience entering information into databases and other related systems with speed and accuracy.
- Experience processing payments and purchase orders.
- Excellent organization skills with the ability to prioritize and multi-task in a deadline driven environment with time constraints.
- Excellent analytical and problem-solving skills with the ability to make sound decisions demonstrating good judgement when dealing with highly confidential or sensitive situations.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills with the ability to establish and maintain strong working relationships with clients, co-workers, supervisors, and other agencies and professionals (i.e. Firefighters, Paramedics, other health care professionals, learning institutions, etc.) in a collaborative, team environment.
- Ability to work independently and take initiative.
- Ability to accurately type a minimum of 40 words per minute (wpm).
- Ability to maintain and organize accurate files and records.**CONDITIONS OF EMPLOYMENT**:
