Position Overview:
Reporting to the Aftermarket Admin Supervisor, the Aftermarket Advisor acts as a gatekeeper to ensure contract expenses, prior to invoicing, are in compliance with specific contract language and with current contract management guidelines and procedures. This includes providing contract administrative support to Service Operations and Sales groups to achieve effective and efficient management of contract liabilities. This position also provides quarterly forecasts of total projected contract expenses and contract health that are required to support the quarterly reporting process of overall profitability of liability contracts.
**Please note that this is a maternity leave backfill temporary role from February 2023 - February 2024.
**Job Description**:
- Collect, validate and facilitate the effective monthly communication of contract machine utilization data to EMS Enrollment Coordinators to support the timely customer invoicing of liability contracts resulting in on-time payment from contract customers.
- Provide contract support to Service Operations and Sales groups to achieve effective and efficient management of contract liabilities in alignment with specific contract language and with current contract management guidelines and procedures.
- Review all liability contract expense transactions prior to invoicing, daily, for compliance with: data/documentation integrity requirements, current contract management guidelines and procedures, and financial reasonability/compliance with specific contract agreement language.
- Approve expense transaction for invoicing to the appropriate contract enrollments (liability account) that meet compliance reviews, and reject non-compliant transactions including clarity on compliance gaps and recommended corrections.
- Provide quarterly forecasts of total (actual + future) projected contract expenses for all required liability contracts that are required to support the quarterly reporting process of overall profitability and contract health of liability contracts.
- Must be able to work overtime during our Quarter End months this could include weekends in the first two weeks of March, June, September, December.
- Accountable for contract expenses, prior to invoicing, are in compliance with specific contract language and with current contract management guidelines and procedures.
- Accountable for accurate monthly contract expense importing and general ledger reconciliation.
- Accountable for all documented standard operating procedures are being adhered to and followed consistently with each job.
- Accountable for accurate and timely billing of liability contracts.
- Accountable for accurate and timely quarterly forecasts of total projected contract expenses and contract health that are required to support the quarterly reporting process.
**Experience**:
- Prior experience in customer service, Caterpillar dealership experience and/or experience in equipment, service, parts or warranty.
- Mechanical aptitude with the desire to learn to support and direct the technical questions.
- Prior Caterpillar product line technical experience would be considered an asset.
- Understanding of Finning policies and procedures an assets; (safety, HR, warranty, service process, etc.).
- Understanding of key performance metrics for the role, team and department
- Knowledge of repair structure and job set up.
- Proficient in MS Office Applications, specifically Access, Excel, and Word, Lawson and internal systems.
- Understanding of Finning’s Customer Service commitment, warranty program, service billing process and procedures, and Finning and Caterpillar warranty processes.
- Finning and CAT products, parts and mechanical services.
- Service Work In Progress (SWIP) management process and financial impacts.
- Finning liability contracts, reading and understanding contract language including contract management guidelines and procedures.
- Financial reporting and financial impact of liability contracts to financial statements.
