We are currently seeking a Leasing Specialist to join our team in Victoria The weekly work schedule will be Tuesday to Saturday.

**Detailed Responsibilities of a Leasing Specialist include but are not limited to**:

- Providing administrative assistance in day-to-day operations of the Rental office;
- Photocopying, scanning, and sending documents to the Head Office as required;
- Providing reception duties including receiving and directing incoming telephone calls;
- Greeting and answering walk-in tenant enquiries;
- Posting of notices in the building;
- Renewing of ads and providing feedback and suggestions for the rental advertising;
- Organizing and updating digital and paper filing systems;
- Providing access to contractors;
- Participating in preparation of tenant and employee events including, but not limited to tenant appreciation events;
- Respectfully and capably representing the best interests of Townline in all internal and external dealings;
- Showing suites and property to prospective tenants;
- Monitoring the website and uploading floor plans for vacancies;
- Verifying the prospective tenant's ability to pay rent;
- Preparing leasing documentation for the Leasing and/or Building Manager's review and approval;
- Conducting move-in /out suite inspections regularly;
- Assisting with the suite and /or building access as regularly;
- Assisting with the tenant's moves such locking elevators, installing/removing pads **if **required;
- Tracking and preparing the rental traffic documentation;
- Building inspections, identifying and reporting any deficiencies to the property manager or leasing manager;
- Assisting in issuing keys and fobs to tenants and/or contractors.

**Skills & Requirements**:

- Completion of a high school diploma;
- 2+ years of Office Assistant and /or Customer Service Experience;
- Experience reading leases is an asset;
- Strong verbal and written communication skills;
- Knowledge of Excel, Word and Microsoft Office;
- Knowledge of Round, Angus Software, Yardi and Rent Café;
- Ability to multi-task and prioritize demands;
- Polite, professional, cooperative personality and willingness to assist others;
- Ability to work both independently and as a team player;
- Ability to adapt to changing needs and demands while remaining calm;
- Ability to multi-task and meet deadlines;
- Ability to take directions and to follow through on assigned work **in **a timely manner; and
- Maturity, confidence and tact, particularly when dealing with difficult issues
