**Purpose**
The Church Coordinator often serves as the first
- and single-point of contact for members of the congregation and the community seeking information or guidance, setting the right tone, and fostering an excellent experience every time. The Church Coordinator also provides critical event/building use, office management, and administrative services across our church’s many activities and ministries.
We are looking for a self-starter with a passion for helping others and keeping a busy Church running smoothly
This role is a **full-time permanent role** - the hours of work are a minimum of 35 hours per week, and it is expected that the coordinator will work on site at the church five days a week (with some flexibility as required.)
**Major Responsibilities**
**Worship Service Preparation (35%)**
- In consultation with the Coordinating Minister, and Ministry Leads, prepares, and distributes e-blasts detailing the Church’s weekly services and events
- Prepares visual presentations for worship services in collaboration with the Coordinating Minister, and Director of Music who provide the necessary content for the slides
- Liaises with AV Lead to obtain links to online worship services so they may be communicated to congregants in the e-blasts and confirms that service recordings are uploaded to YouTube and the church website
- Coordinates with the Communication Ministry Leads to design promotional materials supporting church activities and initiatives that may be used in the e-blasts, the slides presented before and after the 10 am service and on social media
- Maintains the church’s website with input from the Communication Ministry Leads
***Event and Building Use (25%)**
- Maintains the Church’s calendar of events and oversees the booking of space for various functions as well as short-term and long-term external rentals. Ensures all requirements related to the booking are clarified and documented including numbers, set up and other arrangements. Consults with the Property Superintendent regularly regarding staffing levels necessary to meet space booking requirements and collaborates with Ministry Lead for Property as required
- Supports funeral arrangements in line with established guidelines. This involves assisting the bereaved family with various decisions, including music and a reception, if requested. Notifies other groups using the church and resolves space conflicts. Assists with the creation of printed material. Coordinates details with the funeral home as required.
- Coordinates Baptisms and Confirmation requests in line with established guidelines
- Provides direct support to volunteers coordinating smaller special events from a communications and logistics perspective and consults with representatives of larger or more involved events on their needs
- Collaborates with Financial Administrator on registration and ticket sales for events such as KLUC’s Christmas Pageant or other seasonal or special events
**Office Management (10%)**
- Greets visitors to the church and guides them as required
- Provides support to the Coordinating Minister, Director of Music, and Council Chair, including coordinating meetings and delivering messages
- Updates information on the telephone and electronic media regarding worship services, special events, Church Staff Directory, location, and hours of business
**Church Administration (20%)**
- Maintains Church Roll. Prepares certificates for new members, baptisms and confirmations as required
- Prepares correspondence to notify next-of-kin of memorial gifts, sending thank you notes to donors and ensuring the Church acknowledges these gifts in the weekly Sunday bulletin
- Prepares the Church’s Annual Report coordinating content from Ministry Leads. Prepares KLUC’s statistical report for submission to the United Church of Canada
- Prepares communications to members of the congregation or targeted groups as required and determined by Council Chair or Ministry Leads
- Maintains an update-to-date list of members residing in nursing home or who shut-ins
**Other Responsibilities (10%)**
- Responds to the Church doorbell when on site
- Participates in the weekly staff meeting
- Other duties as assigned
**Qualifications**
**Education/Experience**
- College diploma or higher in a related field or 4 - 5 years year of senior office management experience ideally in a church environment.
