**Responsibilities**:
AMER GBSU COO Pilotage function is responsible for coordinating and managing the day-to-day operations of the AMER GBSU COO office. This covers activities such as project & portfolio management, financial management, resource, staffing and sourcing management, platform OPEX governance, as well as strategic planning.

This function also has the responsibility for coordinating with other GBSU units (e.g., EQD, FRM, CLD etc.), CIO and chief of staff to ensure that the most appropriate levels of COO services are provided to meet current and future GBSU management needs.

**Tasks and responsibilities**:
**Operational Expense**
- Manage expenses: provide functional support to users of our booking platform and contribute to the creation of expense reports for managers
- Assist travelers with travel booking process, approvals, assigning delegates and administrators
- Monthly reporting of expenses to the management for the Americas region
- Maintain regional expense policies and governance documents and articulate changes to management
- Work in collaboration with IT teams, accounting teams and administrative assistants of our business units

**Resource Management**
- Staff Plan management in Pyramid and alignment with HR
- Monthly headcount monitoring of actual and projected staff plan, as compared to budget
- Run monthly meetings with GBSU managers and Chief of Staff to ensure their staff plan forecast is aligned with trajectory
- Conduct analysis to reduce costs and improve efficiency / optimization of staff management
- Assist in the preparation of the annual budget exercise and forecast analysis

**Financial Management**
- Review of monthly GBSU financial statements (forecast & budget) with local GBSU COS
- Manage invoices approvals, accruals, and cost allocations
- Generate finance and budget reports to address stakeholder needs
- Assist in the preparation of the annual budget exercise and forecast analysis

**Collaborative Learning and Engagement**
- Undertake projects related to learning and development: communication campaigns, promotion of training offers, contribution to the creation and deployment of e-learning platforms and their reporting
- Take part in career development activities: coach employees and managers, create support documents, draft communications and reporting

**Profile required**:
Studies & experience:

- Graduated with a Master’s degree in Accounting/Finance/Economics

Language skills:

- Fluent in conversational and professional English

Technical, operational & soft skills:

- Good communication and presentation skills
- Proficient in the Microsoft Office Suite (Excel, Word and PowerPoint)
- Organization, attention to detail, excellent communication and analytical skills will be the keys to success in this mission.
- Effectiveness, team spirit and an ability to work in a fast-paced and demanding environment
- Self-motivated, communicative and able to work both, within a team and independently

**The VIE assignment in a nutshell**

In case a visa is necessary, please make sure your passport is valid up to 6 months after the end of the VIE contract to not delay your departure.
