**Position Overview**:
As the Supervisor, Child Care Administration, you play a crucial role in promoting excellence in service delivery and operational efficiency, ensuring families receive high-quality and consistent support throughout their child care journey, from enrollment to withdrawal.

Reporting to the Director, Business Administration & Customer Care, you will lead and optimize the child care registration process, ensuring success for both YMCA HBB families and organizational goals. You will oversee all administrative processes related to child care registration, guaranteeing accuracy, timeliness, and compliance across all YMCA HBB regions and centers. In this role, you will provide mentorship and direction to Team Leads, fostering a collaborative environment and enhancing the overall success of the administrative team.

By cultivating a customer-focused culture and providing ongoing training to Team Leads, you will empower the team to deliver exceptional customer care. Additionally, you will offer advanced support in complex cases.

**What You’ll Do**:

- Provide leadership to the child care financial administration team, ensuring accuracy and efficiency in financial & administrative processes.
- Manage operational risk, development of the team’s operational capabilities and optimize operational efficiency.
- Develop and implement administrative policies, procedures, and best practices, and support process improvement efforts and reduce manual work.
- Process and reconcile registrations, waitlists, and billing. This includes the accurate and timely processing of third-party cheques & subsidies.
- Collaborate with the Child Care department as well as other teams to support the seamless operation of licensed child care services.
- Oversee the preparation and maintenance of child care participant lists at all sites.
- Ensure revenue and registration targets are met at all child care sites, and identify any barriers to reaching capacity.
- Maintain compliance with applicable regulatory guidelines such the Child Care and Early Years Act (CCEYA) and the Canada-wide Early Learning and Child Care (CWELCC).
- Deliver service commitments to the clients’ satisfaction by ensuring all work functions are completed accurately and on a timely basis.
- Ensure the Child Care Financial Administration Team delivers value-based customer care to current and prospective YMCA HBB families.
- Handle complex financial & administration related inquiries and resolve issues as they arise, and ensure customer inquiries are responded to in an accurate and timely manner.

**What You’ll Bring**:

- Minimum of three (3) to five (5) years of experience in a supervisory or leadership role, preferably within child care, education, or a customer service/financial administration setting.
- Strong leadership skills, with the ability to supervise, motivate, and mentor a team. Experience with performance management and staff development is crucial.
- Knowledge of customer service principles, particularly in family-focused services, ensuring high-quality interactions and support.
- Demonstrated experience working with cross-functional teams, including municipal partners, child care program staff, and other stakeholders.
- Proven experience in delivering high-quality customer service, ideally in a child care or family services environment.
- Experience in financial processes such as billing, payments, and subsidy management.
- Excellent problem-solving skills, with the ability to assess complex issues, such as financial discrepancies or customer complaints, and make sound decisions.
