Faculty/ Unit: The School of Continuing Studies, Student Success and Enrolment Management

Position Title: Admissions & Convocation Administrator

Position Summary:
Under the direction of the Manager, Admissions and Convocation, the Administrator, Admissions and Convocation will play a key role in ensuring the operational success of student admissions, graduation at the School of Continuing Studies. As a member of the Student Success and Enrolment Management (SSEM) management team, the Administrator will assist in developing operational strategies, best practices, and inter-unit communications to reach admissions related goals.

Primary Responsibilities:
Admissions:
- Work on tracking, predicting, and evaluating admissions and enrolment related indicators and provide updates to management.- Find new and innovative approaches and products to improve the admissions process and work with the Manager, Admissions and Convocation to provide expert guidance to senior management on the procurement of new technologies and services.- Assist the Manager, Admissions and Convocation in tracking admissions-related goals and communicate the objectives with the administrative student affairs coordinators.- Liaise with the Registration and Student Records Unit and other relevant SCS units regularly to ensure common understanding of admissions procedures and hand-off points in the student journey.- Attend and produce documents for relevant SSEM, SCS, and McGill related working groups and committees.

Convocation and Graduation:
- Assist the Manager, Admissions and Convocation in determining and enacting processes related to the requirements and review of files for graduation.- Ensure documentation regarding graduation requirements for all SCS programs are updated and communicated to the Admissions and Graduation unit.- Assist the Manager, Admissions and Convocation in tracking graduation-related goals and communicate the objectives with the administrative student affairs coordinator.- Liaise with McGill University regarding convocation processes and dates.- Work with the SCS Career and Advising team to develop templates and communication related to student study plans.- Produce graduation-related manuals on the topics of graduation requirements, enacting credentials, and preparing students for graduation to ensure effective onboarding of new staff and to provide information to other SCS units.

Team Building:
- Create environment that fosters team integration as well as cross-functional communication and collaboration.- Assist Manager, Admissions and Convocation to develop a resilient and knowledge-focused team that fosters collaboration and support.- Ensure Admissions and Convocation unit effectively communicates internally and externally to students and other SCS units.

Operations and Strategy:
- Provide support and guidance to the Manager, Senior Managers and Associate Dean of SSEM in relation to operational strategies, best practices, and processes.- Act as a main point of contact for cross-unit work and ensure information regarding admissions and graduation is clearly communicated across SSEM and SCS.- Collaborate and engage regularly on student success and enrolment initiatives with the Registration, Advising, and International Engagement units within SSEM.

Other Qualifying Skills and/or Abilities:
- Strong experience in postsecondary education admissions and student recruitment.- Experience in providing guidance to an operational team, preferably in a postsecondary education environment.- Proven analytical, planning, organizational, problem-solving, and decision-making skills.- Ability to work with student information systems and survey software. Experience with Banner and DestinyOne an asset.- Demonstrated ability to work in an MS Office environment.- High level of professionalism, discretion, attention to detail, accuracy, and confidentiality required.- Experience briefing senior management and delivering information precisely.- Demonstrated ability to work flexibly and under pressure on multiple projects, prioritize, and meet strict deadlines with limited supervision.- Excellent interpersonal and service-oriented abilities, including tolerance and compassion in stressful situations.- Proven ability to work autonomously and as part of a team.- Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4. Ability to speak (an) additional language(s) other than English and French is an asset.
