Job Summary

The Department of Computer Science is a vibrant, dynamic and growing academic department, ranked highly both within Canada and internationally. The department includes 63 faculty members, approximately 2,400 undergraduate majors and 14,300 course registrations. The Computer Science space inventory is approximately 6,500 m2. The Manager, Facilities & Building Operations is responsible for the Department of Computer Science’s facility management.

This role collaborates with senior department managers, the Head and Associate Heads, research lab managers, staff, faculty, external vendors and service providers as well as other UBC units (including Building Operations, Facilities Planning, Project Services, Parking & Access Services, Safety & Risk Services, etc.) to ensure smooth continued operation of CS facilities.

Main duties include managing general building services and facilities operations in the CS department concerning: space management, custodial issues/concerns, relocations, the ICICS/CS building Health and Safety Committee, security breaches, furniture purchases, renovations, ergonomics support, and file archival logistics. The Manager, Facilities and Building Operations is expected to have thorough knowledge of University policies, procedures, guidelines, standards, protocols, workflows and systems, and has the ability to provide guidance to faculty, staff, and students regarding facilities related and health and safety matters. This role participates in the development and implementation of policies, policies, complex procedures, guidelines and standards at the interface between facilities administration, infrastructure operations, and event coordination. Normal work hours may need to be adjusted to control building access for occasional after‐hours events.

Organizational Status

This position reports to the Director of Information Technology and is solely responsible for the management of facilities and building operations. Makes decisions and recommendations on all aspects of assigned responsibilities. This role collaborates with senior department managers, the Head and Associate Heads, research lab managers, staff, faculty, external vendors and service providers as well as other UBC units (including Building Operations, Facilities Planning, Project Services, Parking & Access Services, Safety & Risk Services, etc.) to ensure smooth continued operation of CS facilities. Collaborates with the Director of Finance and Operations which leads departmental administrative functions. The incumbent has a dotted line report to the Head.

Work Performed

Responsible for building and facilities related matters for the Department of Computer Science. Inspects the general conditions of the ICICS/CS Building to ensure that departmental infrastructure is in good operational condition.

Responsible for long term logístical planning including conducting analysis of scope of work renovations and reconfiguration of existing space. planning reconfiguration of existing space.

Establishes project objectives, deliverable, budget, work plans and timelines.

Develops and manages project plans with contractors and trades personnel. Oversees the work of external service providers and ensures completion in accordance with requirements and specifications, safety and environmental regulations, and risk management protocols involving work such as repairs, carpentry, plumbing, electrical, painting and renovation projects. Follows up on action items and deliverables to ensure completion, and keeps the project on track and focuses on achieving the intended outcomes.

Coordinates and plans work orders and service requests for responsible areas, conducts preliminary analysis of scope of work, cost of estimates. Responds to and resolves inquiries/problems escalated by building users. Consults the Hardware Facilities Manager, Manager of Computing, where computing infrastructure may be affected.
