Legal Assistant

We are seeking a legal assistant to provide support for two (2) partners with a labour and employment practice, including litigation in courts and administrative tribunals including Ontario Labour Relations Board.
Other necessary skills include:
- Superior organizational skills with an ability to prioritize and multi-task.
- Strong knowledge of labour/employment, legal and/or business terminology. Knowledge of Labour Relations Board Rules and processes and Rules of Civil Procedure an asset.
- Superior attention to detail in relation to all aspects of work including word processing, spelling, proofreading, editing and formatting skills.
- Ability to receive and accurately act upon verbal instructions.
- Ability to perform duties with speed and accuracy.
- Strong time management, organization and multitasking skills and ability to work under pressure to meet important deadlines.
- Ability to organize and follow up on files, documentation, dates, etc. with mínimal supervision.
- Strong understanding of and commitment to discretion and confidentiality.
- Ability and flexibility to work occasional early/late hours or extra hours.
- **Primary responsibilities will include**:
1. Assisting with all documentation with emphasis on:
- Preparing, editing, formatting, printing, scanning and revising pleadings, correspondence, memoranda, Excel Spreadsheets, reports, forms, labels and other printed material through dictation, copy typing or other instructions.
- Proof-reading documents and reviewing for appropriate formatting, spelling, grammar and clarity.
- Coordination and preparation of documents, document briefs, motion records, etc. including copying, binding and preparation for delivery.
- 2. Assisting and coordination of file and time management including:
- Managing files including opening new files; maintaining large and complex files; developing, maintaining and utilizing an orderly filing and retrieving system to ensure ease of reference to historical paper or electronic records; organizing law and precedent files.
- Working with other team members to close files and to create and/or maintain and store client files as appropriate.
- Managing key dates and monitoring and updating calendars, including meetings, hearing/court dates, filing dates, due dates and all other client and professional related activities.
3. Client support including:
- Coordinating client meetings and requests.
- Receiving, handling, screening and/or directing incoming calls as directed.
- Responding to routine questions and requests from clients and taking messages as required.
- Managing documentation collection, tracking and return with clients.
- Providing consistent back up support for partners and legal assistant; providing support to partners and legal assistant who may be managing multiple tasks and/or difficult deadlines; and working proactively as a positive and proactive member of the team.
- Assisting with the preparation and finalization of time entry and billings according to firm standards and time tables.
- Constantly maintaining and updating job knowledge and technical skills by identifying and participating in educational opportunities.
- Other related duties as assigned.
