Native People Thunder Bay Development Corporation (NPTBDC) is a non-profit charitable housing corporation providing safe, affordable geared to income housing for persons of Native Ancestry in the City of Thunder Bay. The Corporation has a current housing portfolio of 242 houses and apartments scattered throughout the city of Thunder Bay.

**ESSENTIAL DUTIES AND RESPONSIBILITIES **include, but not limited to, the following:
**Scheduling and Coordination**
- Schedule and coordinate routine maintenance tasks, inspections, and repairs for properties managed by the company.
- Work closely with the maintenance team to ensure timely completion of work orders and projects.

**Record Keeping**
- Maintain organized and up-to-date records of all maintenance requests, work orders, and related documentation.
- Input and update information in the property management software/database to ensure accurate and accessible records.
- Provide accurate filing of documentation.

**Communication**
- Serve as a liaison between tenants and the maintenance team, receiving and documenting maintenance requests.
- Communicate with vendors, contractors, and suppliers to schedule repairs and obtain quotes for services.
- Keep tenants informed about the status of their maintenance requests and coordinate access to their units.

**Inventory Management**
- Monitor and track inventory of maintenance supplies and equipment.
- Place orders for necessary supplies and ensure the availability of essential tools for the maintenance team.

**Financial Administration**
- Assist in processing invoices related to maintenance services and materials.
- Collaborate with the finance department to ensure accurate and timely payment to vendors and contractors.

**Reporting**
- Generate regular reports on maintenance activities, including work order status, expenses, and trends.
- Provide reports to management to facilitate decision-making and planning.

**Compliance**
- Ensure that maintenance activities comply with relevant regulations and safety standards.
- Maintain records of inspections, permits, and compliance documentation.

**Customer Service**
- Provide excellent customer service to tenants by addressing inquiries, concerns, and feedback related to maintenance issues.
- Collaborate with tenant relations and administration to ensure tenant satisfaction and retention.
- Provide assistance to administration and front desk reception.
- Will be required, when necessary, to participate with other staff in community events that would create good working relationships with tenants, the community and also enhance the image of the Corporation.
- Other duties may be assigned.

Proven experience in administrative roles, preferably in property management setting or maintenance coordination.

Strong organizational and multitasking skills with a high attention to detail.

Excellent communication skills, both verbal and written.

Proficient in using property management software, standard office software (e.g., Microsoft Office Suite) and equipment.

Knowledge of basic maintenance terminology, procedures and solutions.

Ability to work collaboratively with a diverse team and adapt to a dynamic work environment.

**REASONING ABILITY**

**EDUCATION and/or EXPERIENCE**

Post secondary education in the secretarial/business administration field and/or a Secondary School Diploma with a minimum of two (2) years work related experience.

The Maintenance Clerk must be highly dependable and have the ability to work without supervision. This individual must understand the meaning of teamwork and how it relates to cooperation, productivity and building a solid team spirit with other personnel members. Must be able to deal tactfully with tenants, applicants, Government personnel, contractors, suppliers, and the general public.

Must be able to type a minimum of 50 w.p.m.

Have an understanding of Indigenous people and possess an awareness of the Culture.

Preference will be given to applicants of Indigenous ancestry who have experience and understanding of the culture and traditions of First Nations People. The ability to speak a First Nations language would be an asset.

Must be bondable.
