**Job Overview**
As a Project Coordinator at True Change Solutions, you will play a vital role in supporting client projects by acting as a liaison and providing essential administrative and project support. Your organizational skills and proactive approach will support the Project Manager and the Business Analyst in the planning, execution, and completion of various projects, ensuring they are delivered on time and within scope.
In this role, you’ll support solution development, coordinate project activities for the implementation, maintaining documentation, and monitor projects and tasks as they are progressing to ensure deadlines are met. Your knowledge in project management and business operations is invaluable in this role.
**What You Will Do**:
- **Requirements Gathering**: Actively support and coordinate with clients, stakeholders, and the Project Manager to document project deliverables and business requirements.
- **Project Information**:Identify, gather, and analyze project information and provide input and recommendations.
- **Solution & Analysis Support**: Support the process in the gap analysis by documenting workflows, improvement, and actionable next steps. Assist in the tracking of the project activities and action items
- **Testing and Implementation Coordination**: Coordinate the project tests and implementation activities to ensure solutions meet the business or client needs.
- **Task Tracking**:Monitor project tasks and timelines to ensure they are progressing accordingly, and deadlines are met.
- **Project Support**:Manage administrative tasks and communication associated with project implementation and follow-up. Organize and identify key dates and tasks with the Project Manager, Business Analyst, and other stakeholders to ensure the project's successful completion.
- **Project Delivery**:Prepares business cases, conducts studies, and supports post-implementation activities, reports, and monitoring.
- **Administrative Support**:Assist the Project Manager and Business Analyst with scheduling, documentation, presentations, meeting preparations, and overall coordination.
- **Documentation**: Effectively document and prepare meeting agendas, minutes and notes. Create and regularly maintain presentations, reports, and documentation for the project. Ensure documentation is maintained throughout the length of projects.
- **Training and Support**: Coordinate and support users with current, new, and future systems and processes.
- **Acts as a Liaison Between Clients and Stakeholders**:Effectively communicates with and coordinates where necessary to implement, collect, and create business required documents and processes.
**What You Bring**:
- Minimum of 3 to 5 years of experience as a Project Coordinator or similar role supporting complex projects in a medium to large sized organization.
- High proficiency with Smartsheet, Miro, MS Office (Word, Excel, Outlook, and PowerPoint), and Articulate 360.
- Proven ability to work in complex environments with ambiguity and strong ability to navigate ongoing change.
- Proven ability to execute and complete tasks in a timely manner.
- Proven ability to being proactive and take initiative in support the Project Manager, Business Analyst, and overall team.
- Knowledge of coordinating and supporting test cases.
- Experience with the principles and practices of administrative management and project management.
- Ability to document, analyze and assess a variety of information, and identify priorities.
- Ability to support the project manager regarding the development and implementation of systems.
- Ability to perform assigned duties under minimum supervision.
- Strong ability to act as a liaison between clients, stakeholders, departments, and other project partners as needed.
