We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As a Crane Service Administrative Assistant, you will provide essential support to ensure the smooth operation of our office. Your responsibilities will include:

- Create and document workflow schedule for the service technicians.
- Prepare work orders for technicians and ensure we have all the necessary parts to fulfill customer orders. As scheduled.
- Source necessary materials, parts, and equipment for related jobs as required.
- Send out reminders to customers for upcoming inspections and provide inspection quotations as required.
- Update service item data and prepare reports for preventive maintenance inspections.
- Provide some support to service technicians for supplier and parts information when required.
- Prepare certificates and all required documentation for crane operator training.
- Source pricing and availability from vendors and quote parts accordingly while maintaining preferred parts pricing for dealers and meeting required profit margins for general sales.
- Create digital record of all spare parts orders.
- Record dollar values from spare parts jobs and submit completed orders to Accounts Receivable.
- Generate stock orders as required.
- Prepare recommended spare parts lists for new equipment when requested.
- Process Service Technicians time sheets and enter time to resource time journal weekly.
- Assist with year end process.
- Setting up new service items and updating existing service items in NAV and Inspectall.
- Prepare folders for scheduled inspection visits and allocating them to the technicians.
- Compiling and distributing inspection reports/certificates to the customer and to your service manager when follow up work is required.
- Quote repairs from the inspection reports.
- Send reminders to customers in advance of upcoming inspections.
- Maintain the London branch crane service customer and inspection files.
- Scan completed service orders and link them to the invoices in NAV
- Scan and save completed inspection reports and signed certificates and ensure that documentation is mailed out to the customers as necessary.
