**Job title: Volunteer Coordinator**

**Reports to**: Social worker, or in their absence, the Director of Clinical Care.

**Job Purpose**

The hospice volunteer coordinator is responsible for the overall administration, revitalization, and management of the hospice’s volunteer program, ensuring volunteer services follow best practices of volunteer management. The coordinator ensures effective recruitment, onboarding, training, scheduling, retention, recognition and ongoing supervision and support of volunteers.

**Oversight Accountabilities and Responsibilities**

**Volunteer Program Development, Oversight, & Evaluation**:

- Contribute to conducting a needs assessment of the hospice and community to identify and understand emerging needs and issues and opportunities for volunteer involvement.
- Plan, develop, and launch a revitalized volunteer program inclusive of on-boarding, training sessions, educational resources, and professional development opportunities.
- Establish volunteer best practices through research and current/alumni volunteer surveys.
- Ensure the volunteer program is aligned with the mission, vision, and values of Hill

House Hospice.
- Responsible for daily operations of the volunteer program and act as a dedicated resource for volunteers providing leadership and management to volunteers.
- Provide volunteer supervision, scheduling, assignment of duties, and oversee follow up with volunteers and recording of volunteer hours. Maintaining a volunteer database.
- Participate in quality improvement initiatives by identifying areas of quality improvement related to volunteer management, effectiveness of programs and services, and implement changes as appropriate.
- Assist with the development of relevant program policies and procedures as required.
- Assist with the development, purchase, and implementation of technology required for virtual operations including virtual mentoring and training resources.
- Commit to ongoing learning and professional development.

**Volunteer Recruitment & Support**:

- Develop a volunteer recruitment strategy to attract volunteers that meet the needs of the hospice and the communities the hospice serves (skills, cultural backgrounds, demographics, etc.). Implement and evaluate volunteer recruitment, orientation, support, and educational opportunities.
- Oversee recruitment, screening, training, and ongoing support of volunteers.
- Responsible for the well-being of volunteers, conducting evaluations and volunteer satisfaction surveys.
- Develop a volunteer recognition program. Recognize and acknowledge volunteers for their service and positive contributions within the hospice, community, and regionally.
- Identify and develop a guide of formal volunteer award and honours the region.

Nominate volunteers for formal recognition of positive services and involvement.
- Plan and coordinate special events such as volunteer recognition, recruitment drives, training workshops, and educational sessions.
- Maintain records and picture files of volunteer events and events attended by volunteers.
- Monitor the emotional state and well-being of volunteers providing counselling as needed with the assistance of the hospice social worker and leadership team.
- Manage and resolve conflicts and complaints involving volunteers.

**Administrative Duties & Communications**:

- Maintain computerized volunteer files and contact information.
- Collect and maintain statistics regarding volunteer hours, retention, involvement, appreciation, and attrition.
- Assist with inventory, ordering, and purchasing of supplies and goods for the hospice, team members, and residents.
- Other administrative duties are required.
- Review volunteer forms and policies. Develop and update forms and policies as appropriate.
- Engage in ongoing learning staying informed of current directions and emerging trends in volunteer services relevant to Hill House Hospice.
- Attend and participate in volunteer coordinators’ network meetings.
- Assist with social media campaigns and developing social media content.
- Promote and follow Hill House Hospice’s mission and core values. Act as an advocate for hospice palliative care speaking eloquently about the hospice, its team, and services provided.
- Coordinate communication for volunteer birthdays.

**Qualifications, Abilities, and Assets**
- Post-secondary degree or diploma in volunteer management; human resources; social services from an accredited education institution.
- Volunteer management certificate an asset.
- Thrives in environments where they are successful working independently, as well as collaboratively within a team and with diverse communities.
- Competent in Microsoft Office, Outlook, Microsoft Teams, etc.

**Working Hours**
- Part-time, 1 year contract with possibility of renewal base on organizational need and decision.
