Every position contributes to the spiritual and social mission of The Salvation Army. The Admin Assistant position performs receptionist, secretarial and administrative duties providing support to managers and employees, ensuring the efficient operation of the Ministry Unit.

Coordinating the Volunteer Program for the Ministry Unit

**HOURS**:

- 8:30 to 16:00 Tuesday to Friday with 30-minute unpaid meal break.

**KEY RESPONSIBILITIES**:

- Drafts and types correspondence (e.g., Letters dealing with administrative issues, acknowledgements); checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines.
- Builds and maintains databases (e.g., Employee/volunteer information, contact lists, inventory, etc.) maintains and audits Thrift Store vouchers.
- Process incoming donations according to Salvation Army policies
- Opens and distributes incoming mail; receives parcel(s) and distributes to the appropriate person(s)
- Orders all stationery and Janitorial supplies and maintains adequate office supplies and other supplies as needed; may maintain postage meter supply; arranges for maintenance of office equipment.
- Prepares and receives all paperwork for various projects and processes (e.g., community service orders, ministry unit annual reviews, Thrift Store reporting, etc.)
- Manages and ensures the protection of extremely confidential and sensitive documents.
- Ensures that date is entered and recorded using statistical database systems and that deadlines for submissions are met promptly.
- Ensures general cleanliness, upkeep, and security of the general office area.
- Assists with Dinner Bell program distribution of frozen meals including collecting payments.
- Performs other duties as assigned.
- Responsible for organization of Ministry Unit Volunteer Program which includes matching volunteers’ skills with needs within our programming.
- Perform duties as outlined in job description.
- Work within the mission of The Salvation Army.

**QUALIFICATIONS AND EDUCATION REQUIREMENTS**:

- Completed high school Grade 12
- Diploma or certifications in Business or Administrative courses
- A minimum of 2 years’ experience as an Administrative Assistant
- Note: an alternative level of education and experience may be acceptable.
- Food Safe level 1
- First Aid
- Drivers License and clean driving record

**Required Skills/Knowledge**:

- Excellent organizational skills
- Experience in office and administration/office equipment-computer, copier/fax machine
- Proven proficient use of internet-based software, Microsoft Office, Excel, online search engines, etc.
- Proven active and compassionate listening skills.
- Proven problem-solving and conflict management training/skills.
- Excellent communication and interpersonal skills
- Obtain clearance from Ministry of Justice Criminal Record check and clearance from The Salvation Army’s Internal Abuse registry.
- Willingness and ability to complete online new hire health and safety training.
- Willingness and ability to complete training as required by contract or The Salvation Army
- Ability to multi-task and work well in a fast-paced environment
- Time management, attention to detail and ability to work independently.
- Support for and an understanding of the mission and the purpose of The Salvation Army
- Flexibility in scheduling is required for November-December
