Summary:

- The Diagnostic Imaging Vascular Coordinator under the direction of the manager will provide direction, leadership, support, and guidance in day-to-day administrative activities. The Diagnostic Imaging Vascular Coordinator is responsible to ensure the smooth day-to-day operations of the Vascular Ultrasound clinic in accordance with the strategic plan and philosophy and values of the Health Centre. The Vascular Coordinator will be involved in planning and problem solving and will support the Manager in various initiatives and project within the department on an ongoing basis.Major Responsibilities:
**Administrative**

**Under the direction/guidance of the manager**:

- Provides oversight in collaboration with vascular surgeon offices and external stakeholders to facilitate the co-ordination of schedules and ensures the co-ordination of adequate skilled staffing levels
- Responsible for the oversight of effective and efficient management of clinic bookings
- Responsible for developing and implementing quality and process improvements on a continual basis supporting the provision of safe, quality patient care
- Oversees the maintenance, monitoring, and management of the distribution of community referrals
- Responsible for effective supply chain management in support of the day-to-day operational clinic needs including overseeing and delegating the completion of clinic set-up
- Supports Manager with departmental clerical projects and initiatives on an as needed basis
- Acts as a resource for Patient Transport Assistants, under the direction of the Manager on a day-to-day and as needed basis, supporting improvements, quality, and process initiatives
- Participates in the development and maintenance of policies, procedures, and work standards
- Co-ordinates and implements communications and external outreach initiatives with community partners in co-ordination with the Manager
- Responsible for the development, implementation, and sustainability of Quality and safety Improvement initiatives
- Develops, implements, and monitors Quality Assurance initiatives including meeting Accreditation Canada Diagnostic standards.
- Communication liaison, along with Diagnostic Imaging staff & physicians
- Participates on departmental and hospital committees as required
- Identifies errors and evaluates situations that require referral to manager
- Participates in departmental problem solving and strategic planning
- Sources vendor and quotes for products and equipment
- Responsible for monthly stats, analysis, and dissemination of information
- Continuously assesses and makes incremental changes to improve efficiencies of daily procedures
- Provides staff education, orientation, and ongoing training for staff on various functions
- Participates in staff meetings, in-service and team development.
- Participates in the development and maintenance of policies, procedures, and work standards
- Oversees the co-ordination and management the scheduling needs for the Vascular Ultrasound clinic
- Liaises with the Managers on a regular basis.
- Liaises with Medical and Administrative Directors as required.

**Resource Management**

**Under the direction/guidance of the manager:
- Plans, organizes daily work assignments based on staffing and unusual fluctuations during various shifts of workload. Provides general day-to-day supervision/guidance
- Provides orientation and training on administrative programs & systems for all new staff.
- Participates in hiring decisions
- Promotes positive employee engagement within the department

**Equipment Maintenance/Service**

**Under the direction/guidance of the manager:
- Responsible for the Supply Chain and implementation processes for new equipment
- Maintains knowledge of various types of equipment in use within the Diagnostic Imaging department
- Arranges for emergency & preventative maintenance on selected equipment and calls for repair/service when required.

**Quality Assurance/Improvement & Risk**:
**Under the direction/guidance of the manager:
- Participates in the development and monitoring of the departmental quality assurance/improvement plan
- Monitors incident reports to identify areas for improvement
- Ensure proper record keeping and reporting.
- Assists with incident reports as appropriate and provides follow-up with the manager to minimize risk to patients/staff and the Health Centre.
- Communicate relevant information to the Manager on internal and external issues.
- Monitors QA initiatives to ensure that standards are met/exceeded in accordance with Accreditation Canada Diagnostics standards.
- Ensure compliance with workplace Health & Safety requirements
